Duties/Responsibilities:

Own the monthly close and financial reporting

Run the close from the pre-close readiness review through final month-end review, including the night-of-close process in Acumatica
Oversee preparation of periodic financial statements in accordance with GAAP
Prepare the month-end cash flow statement and management memo, analyzing and explaining variances in results
Review general journal entries for accuracy and adequate support

Maintain the general ledger

Reconcile all balance sheet asset and liability accounts, maintaining reviewable support
Research and resolve discrepancies to root cause, escalating aged items appropriately
Prepare adjusting entries between accounts payable and accounts receivable

Run payroll

Process bi-weekly payroll funding and general ledger transactions in Acumatica
Reconcile payroll accounts and record the month-end payroll accrual
Set up new employees in Acumatica, including ACH and labor rates
Process employee purchase deductions, including tool liens and safety equipment
Complete retirement and benefits uploads (Principal and Employee Benefits Corporation)
Prepare certified payrolls and administer prevailing wage requirements
File Washington quarterly payroll returns and North Dakota WSI returns
Serve as the go-to resource for employee paycheck questions

Manage tax and regulatory compliance

Prepare and submit Canadian GST, PST, and QST filings, and reconcile those accounts to the filings
Ensure compliance with applicable local, state, provincial, and federal requirements

Handle inventory, fixed assets, and receivables

Perform monthly inventory reconciliation and resolve variances with operations and warehouse personnel
Track capital expenditures and disposals, and maintain construction in process schedules
Perform daily collections activity and follow up on past due balances
Generate and distribute monthly and ad hoc customer statements

Administer commissions, fleet, and systems

Calculate and process monthly commissions and incentives, and prepare quarterly car allowance reporting
Maintain vehicle records, including number assignment, new vehicle entry, and location changes
Maintain updates in Ramp and monitor the shared accounting inbox

Strengthen controls and processes

Establish and maintain internal controls and guidelines for accounting transactions and budget preparation
Maintain documented accounting policies, procedures, and departmental procedure books
Identify and recommend improvements to processes and system utilization
Support external auditors with requested schedules and documentation
Performs other related duties as necessary or assigned.

Education and Experience:

Bachelor's degree in accounting or business administration
Five or more years of progressively responsible accounting experience
Demonstrated experience owning or substantially executing a monthly close
Direct payroll processing experience
Working knowledge of GAAP and the full accounting cycle
Strong analytical skills, with the ability to research discrepancies to root cause
Excellent organization and time management, and a track record of meeting firm deadlines
Excellent written and verbal communication, including the ability to explain financial results to non-financial audiences
Sound judgment and discretion handling confidential payroll, compensation, and customer information
Proficiency with Microsoft Office, particularly Excel and Word
Availability to work evenings at month end, and to travel occasionally

Preferred:

CPA and/or CMA designation
Advanced Excel skills
Experience in construction, contracting, distribution, or another inventory- and fleet-intensive industry
Certified payroll and prevailing wage experience (Davis-Bacon or state equivalent)
Multi-state payroll experience, and exposure to Canadian indirect tax (GST/PST/QST)
Experience with Acumatica, Ramp, Principal, or Employee Benefits Corporation platforms

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer.
Must be able to lift to 15 pounds at times.
