Position Overview

We are seeking a detail-oriented and dependable AP/AR Supervisor to join our growing team. In this role, you will oversee daily accounts payable and receivable operations, supervise staff, and resolve discrepancies. You will ensure all transactions are processed accurately, properly documented, and fully compliant with internal controls. Additionally, you will play a key part in our growth by establishing new accounting systems and processes from the ground up to improve overall workflow. The ideal candidate is organized, hands-on, and proactive in identifying improvements. A strong understanding of accounting principles, cash flow management, and financial reporting is essential, and familiarity with Statutory Accounting Principles (SAP) is highly preferred.

Key Responsibilities

• Oversee daily verification of premium collections, including reconciliation of policy system records with actual premium receipts and other related review procedures.
• Oversee and support month-end and year-end close activities, including account reconciliations and resolution of discrepancies
• Analyze financial data to identify trends, variances, and potential issues; provide insights and recommendations to management
• Manage accounts receivable and accounts payable, including monitoring, reconciliation, and settlement.
• Oversee operating expense disbursements and budgets in accordance with company policies and internal controls.
• Support tax preparation and compliance efforts, including coordination of state and federal tax documentation.
• Evaluate, plan, and implement new systems and software to improve business processes.

Managerial  Responsibilities

• Team Supervision: Supervise and support AP and AR specialists in their day-to-day responsibilities, providing guidance, training, and feedback as needed.
• Workflow Coordination: Assign and monitor daily tasks to ensure timely completion of invoice processing, payment runs, cash application, and collection activities.
• Work Review: Review team members’ work for accuracy, completeness, and compliance with established procedures before final processing or escalation.
• Staff Coaching: Provide ongoing coaching and support to team members and assist the Manager with performance feedback and staff development.
• Process Improvement: Identify operational issues and recommend improvements to AP/AR workflows, controls, and procedures.
• Issue Escalation: Handle routine vendor, customer, and internal department inquiries and escalate complex or sensitive matters to the Manager as appropriate.
• Compliance & Audit Support: Ensure required documentation is maintained and support internal controls, audits, and other compliance-related activities.
• Reporting & Follow-up: Monitor outstanding AP/AR items, follow up on aging balances or unresolved issues, and provide status updates to management.

Qualifications

• Bachelor’s degree in Accounting, Finance, or a related field
• 5+ years of accounting experience in the insurance industry exclusively on the carrier side, with strong expertise in accounts payable and accounts receivable operations.
• Ideally possess strong knowledge of NAIC reporting, SSAP, and other applicable financial reporting standards.
• Proficiency in accounting software (e.g., SAP, or similar)
• Excellent analytical, problem-solving, and organizational skills
• A Self-driven and proactive individual who takes ownership of their work
• CPA or other relevant certification is a plus
