Position Overview: The Bid Coordinator is responsible for reviewing, preparing, and submitting bid applications forthe acquisition and sale of goods and services. This role involves meticulous attention to detail,excellent organizational skills, and the ability to manage multiple deadlines. The Bid Coordinatorwill work closely with various departments to gather necessary information, ensure compliancewith bid requirements, and submit completed applications on time. Key Responsibilities: Document Review and Preparation: Review and analyze bid documents to understand requirements and deadlines. Prepare bid proposals, including gathering necessary information and documentation fromrelevant departments. Ensure all bid submissions comply with company policies and client requirements. Submission Management: Coordinate the timely submission of bid applications, ensuring all deadlines are met. Maintain an organized system for tracking bid opportunities, submissions, and outcomes. Communicate with vendors, clients, and internal stakeholders to clarify bid requirements andgather additional information as needed. Compliance and Quality Assurance: Ensure all bid documents are accurate, complete, and meet the highest quality standards. Verify that all bid terms and conditions are understood and accepted by the company beforesubmission. Maintain up-to-date knowledge of industry regulations and standards related to bidsubmissions. Communication and Coordination: Act as the primary point of contact for all bid-related inquiries. Coordinate with the finance, legal, and operations teams to ensure all aspects of the bid areaddressed. Schedule and conduct bid meetings to discuss requirements, progress, and strategies. Reporting and Analysis: Prepare regular reports on bid activity, including success rates and potential improvements. Analyze bid outcomes to identify trends and opportunities for future submissions. Provide feedback to management on bid processes and suggest improvements. Qualifications: Bachelor’s degree in Business Administration, Finance, or a related field. Proven experience in bid coordination, proposal writing, or a related role. Excellent written and verbal communication skills. Strong organizational and project management abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Attention to detail and ability to work under tight deadlines. Knowledge of industry regulations and compliance standards. Compensation: Salary: $50,000 - $70,000 annually, depending on experience and qualifications. Performance-based bonuses may be available based on successful bidsubmissions and contract awards.
