In this role, you will orchestrate meetings, track deliverables and accountability, and ensure seamless integration of medical leadership into our service model. You’ll manage Medical Directors’ engagements, capture key decisions and action items, and follow through to ensure commitments are met. Your work will directly support leadership visibility and operational success.When bandwidth allows, you’ll also assist with coordinating account meetings with the medical team, helping connect the dots between Medical Directors and client-facing teams.What You Will Be DoingMeeting & Activity CoordinationOwn the calendar: Organize and manage meetings for all Medical Directors and related stakeholders across multiple time zones.Capture what matters: Take clear, actionable notes and meeting minutes; identify and document decisions and next steps.Drive accountability: Track action items, deliverables, and timelines; follow up with IDTF leaders and Medical Directors to ensure progress and integration milestones are met.Summarize for impact: Compile concise summaries and dashboards for leadership review, highlighting progress, risks, and key updates.Cross-Team CollaborationCommunicate directly with internal stakeholders and, when needed, external accounts to arrange calls and coordinate activities.Support coordination of clinical review requests, ensuring alignment with Medical Directors and operational teams.Operational ExcellenceMaintain organized records in Microsoft tools to ensure information is accurate, accessible, and up to date.Identify process gaps and propose improvements to enhance efficiency and clarity across workflows.Service Principles (How We Show Up)Be the connector: Create clarity and alignment across multiple teams and time zones.Own the details: Every note, every action item matters—your precision drives accountability and results.Move with purpose: Anticipate needs, follow through relentlessly, and keep projects on track.Communicate with confidence: Build trust through clear, timely updates and proactive engagement.Elevate the team: Your work amplifies the impact of medical leadership and ensures operational excellence.What We Want to SeeBachelor’s degree preferred (or equivalent experience).At least 6 years in project coordination or executive administrative supportAt least 2 years of project or administrative experience in administrative healthcare or in a medical device/medical services organizationProven ability in organizational and stakeholder management skillsDemonstrable proficiency in Microsoft Office Suite (Outlook, Teams, Excel, SharePoint)Ways To Stand OutFamiliarity with project tracking tools and AI tools (CoPilot) is strongly preferredExceptional organizational and time-management skills; ability to juggle multiple priorities across global teams.Strong written and verbal communication skills for clear documentation and stakeholder engagement.Comfortable working independently and proactively driving accountability in a fast-paced environment.Remote - USNon-Exempt (hourly)Location:Remote - USActual compensation may vary depending on job-related factors including knowledge, skills, experience, and work location.Estimated Pay Range$27.73 - $34.66As a part of our core values, we ensure an inclusive workforce.
