This role is the operational spine of the client experience — ensuring that every client feels seamless service and quiet operational excellence at every step. The Client Service Associate works closely with our Wealth Strategists and the client service team to deliver high-quality support across onboarding, account maintenance, money movement, and ongoing relationship management. As we open our new West Palm Beach office, this role is also the anchor of that space — the person who opens the mail each morning, answers the phone with warmth, and keeps the office feeling cared for from the moment someone walks in. Duties and Responsibilities

BEHIND EVERY CLIENT

Coordinate and manage the end-to-end client onboarding process, ensuring accuracy and efficiency. Execute and track money movement requests, including contributions, distributions, and transfers, in compliance with custodial and regulatory standards. Deposit and manage checks received and processed in compliance with company and broker dealer standards. Process account applications, beneficiary changes, and other custodial updates. Proactively assist clients with paperwork — rollovers, applications, distributions, contributions, suitability forms, and broker dealer paperwork — in a timely manner. Manage and maintain accurate client records in CRM and custodial platforms. Execute on follow-up tasks from client meetings.

ACROSS THE ECOSYSTEM

Liaise with custodians, accountants, attorneys, and insurance carriers to support client needs. Assist with insurance-related tasks such as running quotes and processing applications. Support Transfer of Assets processes and track incoming account transfers. Process cash management requests, including wires, EFTs, journal entries, and DAF requests. Assist with Alternative Investment Agreement paperwork and subscription documents.

HOLDING THE OFFICE TOGETHER

Open the West Palm Beach office each morning; receive and sort incoming mail; prepare the space for the day. Answer the phone as the friendly first voice of our West Palm Beach office; greet clients and visitors warmly. Keep the office stocked, tidy, and welcoming — supplies, kitchen, conference rooms, and the small details clients notice. Troubleshoot and reconcile daily custodial alerts, ensuring data integrity. Perform OFAC checks and maintain compliance logs (gift, check, fraud, and correspondence). Generate internal reporting. Build and maintain a deep understanding of client process needs, industry trends, best practices, and solutions. Provide backup support for trading functions as needed. Knowledge and Skills Passion for helping clients and supporting colleagues. Excellent verbal, written, and interpersonal communication skills. High standards of professional ethics; handles confidential information with care. Proactive, resourceful, and solutions-oriented mindset. Team player with a positive attitude. Strong organizational skills, attention to detail, and follow-through. Background Bachelor’s degree or equivalent professional financial services industry experience preferred. Conduct consistent with the highest level of integrity and confidentiality. Proficiency with Microsoft Office and CRM systems preferred. Familiarity with custodial and portfolio platforms (e.g., Fidelity Wealthscape, Schwab, Betterment, Orion/Eclipse, Black Diamond, FinDash) preferred. Willingness to pursue industry licensing (e.g., SIE, Series 7/63, or insurance licensing). Notary public credentialing, or willingness to obtain. Comfort handling escalated or sensitive client situations with patience and professionalism. Benefits Total compensation range: $60,000–$90,000, commensurate with experience.
