VMSI is seeking a Project Controls Specialist to provide high-level administrative, operational, and analytical support to program and project teams serving federal government clients. The ideal candidate is detail-oriented, organized, and proactive, with strong communication skills and the ability to thrive in a fast-paced, client-focused environment. This role is critical in ensuring projects are delivered on time, within scope, and aligned with client expectations.

Responsibilities :

• Provide day-to-day project support including scheduling, documentation, meeting coordination, and other administrative tasks.
• Track project milestones, deliverables, and action items to ensure timely completion.
• Assist in developing presentations, briefings, and status reports for internal and client use.
• Maintain organized project records, databases, and file repositories.
• Support project leadership with research, data collection, and analysis.
• Coordinate travel logistics, security clearances, and administrative tasks as needed.
• Serve as a point of contact for internal teams and client stakeholders to ensure effective communication.
• Assist in the preparation and review of contract deliverables.
• Contribute to process improvements and standardization of project management practices.
• Interface with employees for onboarding, tracking timesheet submissions, and completion of required annual training.
• Maintain office and project supply inventory, anticipating needs, placing orders, expediting delivery, and verifying receipt of supplies.

Qualifications

• 2+ years of professional experience in project support, program administration, or operations (experience with government contracts is preferred).
• Strong organizational skills with attention to detail and accuracy.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); SharePoint and Teams experience preferred.
• Ability to manage multiple priorities in a deadline-driven environment.
• Strong problem-solving skills with a proactive, self-starter mindset.

Salary Range: The salary for this position is between $60,000 - $65,000 annually. Factors affecting pay within this range may include geography, skills, education, experience, and other qualifications of the successful candidate.
