Special Education Secretary

The Special Education Secretary provides confidential administrative and clerical support to the Special Education Department. This position plays a critical role in ensuring compliance with federal and state regulations, maintaining accurate student records, and supporting the delivery of services for students with disabilities.

Qualifications:

• High School Diploma; Associate or Bachelor Degree preferred
• Minimum of 2-3 years clerical, school based or administrative experience (school setting)
• Proficiency in Microsoft Office (Word, Excel, Outlook)
• Proficiency in Google Applications
• Experience with Student Information Systems (e.g. DASL, Progress Book, Same Goal)
• Demonstrated ability to maintain confidentiality and manage detailed records
• Maintain professional appearance and neat office environment
• Positive attitude working with students, parents and staff members
• All other duties as assigned by administration

Required Knowledge:

• Working knowledge of Individuals with Disabilities Education Act (IDEA)
• Familiar with Ohio Operating Standards for the Education of Children with Disabilities
• Understanding of IEPs, Evaluation Team Reports (ETRs) and Special Education timelines
• Knowledge of FERPA and student confidentiality requirements

Essential Job Functions:

• Schedule and coordinate IEP meetings, evaluations and re-evaluations in compliance with required timelines
• Prepare and distribute required notices, invitations and procedural safeguards
• Maintain accurate and confidential special education records (electronic and paper)
• Track compliance timelines for IEPs, ETRs and related documentation
• Assist with EMIS reporting and date entry for special education
• Support Medicaid billing documentation as applicable
• Assist in open enrollment required items
• Serve as a point of contact for parents, staff and service providers
• Prepare correspondence, reports and departmental documents
• Provide general clerical support to the Special Education Department
