We are looking for a dependable, organized, and patient-focused Physician Clinic Receptionist to serve as the welcoming face of our clinic and support the daily administrative operations of the practice. WHAT WE'RE LOOKING FOR We are looking for someone who is professional, friendly, organized, and able to provide excellent customer service while managing multiple responsibilities in a busy clinic environment. Qualifications: High school diploma or equivalent required. At least two years of related experience required. Strong computer skills and the ability to learn and utilize electronic medical record systems. Ability to type at least 50 words per minute. Strong verbal and written communication skills. Ability to make independent decisions when appropriate. Ability to work independently and demonstrate initiative. Ability to communicate tactfully and professionally with patients, visitors, providers, coworkers, government agencies, and the general public. Must demonstrate patience, tact, enthusiasm, and a positive attitude. Must be able to maintain strict confidentiality regarding patients, employees, medical staff, and hospital information. Ability to work effectively in a fast-paced environment with frequent interruptions. Knowledge of medical terminology, insurance verification, and medical office procedures is preferred. As a Physician Clinic Receptionist, you will be responsible for creating a positive patient experience while supporting the clinic's scheduling, administrative, financial, and medical-record functions. Your responsibilities will include: Greet patients, visitors, and drug representatives in a friendly and professional manner. Ensure patients properly sign in upon arrival. Answer telephone calls promptly and courteously and route calls or take messages as appropriate. Schedule, reschedule, and confirm patient appointments. Obtain all required patient and insurance information needed for accurate charting and billing. Schedule follow-up appointments and provide appropriate work or school excuses when needed. Maintain an organized and welcoming front desk and patient waiting area. Keep patients informed of delays or changes affecting their appointments. Document patient no-shows and cancellations in the appropriate systems. Assist new patients with completing registration and patient information forms. Obtain and verify insurance information and copies of insurance cards. Verify insurance coverage when scheduling appointments and again prior to the patient's appointment. Contact patients to confirm appointments for the following day. Inform patients of outstanding balances and collect applicable payments at the time of service. Issue receipts and accurately document patient payments at checkout. Process clinic charges, payments, refunds, and other applicable financial transactions. Assist with daily cash balancing and related front-office financial responsibilities. Follow up on insurance billing and delinquent patient accounts as directed. Scan patient information, laboratory reports, X-ray reports, and other documentation into the electronic medical record. Ensure scanned documents are properly labeled and placed in the appropriate patient chart. Assist with referrals and referral correspondence. Process medical record requests from outside entities in accordance with hospital policies. Ensure patients receive all necessary orders, including laboratory and imaging orders, before leaving the clinic. Assist with Meaningful Use and Promoting Interoperability requirements as applicable. Maintain accurate and confidential patient records. Maintain a neat, clean, and safe clinic environment. Report incidents, accidents, safety concerns, or equipment issues promptly. Follow all hospital and clinic policies, procedures, infection control practices, safety requirements, and HIPAA/confidentiality standards. Perform other related duties and responsibilities as assigned or necessary. PHYSICAL & WORKING REQUIREMENTS This position works primarily in a well-lighted and ventilated clinic office and requires frequent interaction with patients, visitors, providers, coworkers, and outside agencies. The position may involve frequent interruptions, emotionally upset or difficult patients, and occasional work beyond normal clinic hours, including weekends or extended hours when necessary. The employee must follow established safety and infection-control procedures, use appropriate PPE, practice proper body mechanics and ergonomics, and participate in emergency procedures and drills.
