The Opportunity

JSMM INC. is seeking an experienced Insurance Claims Office Manager & Construction Bookkeeper to manage property insurance claim documentation, financial tracking, and daily office operations across our construction and restoration divisions.

In this central administrative leadership role, you will manage high-volume property claims workflows, coordinate directly with insurance carriers and adjusters, oversee accounts payable/receivable, and ensure all project files remain audit-ready. Operating as the operational bridge between field project managers, insurance adjusters, and executive leadership, you will maintain financial organization and project momentum. Key Responsibilities

  • Insurance Claims Administration: Manage, track, and organize property insurance claim files from initial intake through adjuster review, carrier approval, and final depreciation releases.
  • Carrier & Adjuster Liaison: Execute professional communication with insurance carriers, claims adjusters, property owners, and trade subcontractors to keep claims progressing smoothly.
  • Construction Bookkeeping & Job Costing: Maintain precise financial records, manage accounts payable and receivable (AP/AR), track project job costs, reconcile vendor invoices, and support financial reporting using QuickBooks.
  • Audit Readiness & File Control: Organize digital and physical project documentation in strict compliance with industry and carrier standards to ensure full audit readiness.
  • Daily Administrative Operations: Streamline office workflows, manage correspondence, optimize digital document filing systems, and maintain office inventory to support leadership and field teams.
  • Executive Claims Reporting: Generate specialized claims progress reports, track carrier supplement statuses, and maintain financial logs during high-volume storm or loss seasons.

What You Need to Succeed (Qualifications)

Required

  • Mandatory Property Claims Experience: Minimum 3 to 5 years of hands-on experience navigating property insurance claims, adjuster communications, and claims file processing.
  • Administrative Leadership Tenure: Minimum 5 years of dedicated office management, claims administration, or senior administrative experience in construction or restoration.
  • Bookkeeping Mastery: Proven proficiency in construction bookkeeping, job costing, accounts payable/receivable, and financial record-keeping using QuickBooks.
  • Detail Accuracy & Organization: Exceptional organizational skills with a focus on compliance, accuracy, and audit-ready document management.

Preferred

  • Industry Background: Direct administrative experience within general construction, roofing, or insurance property restoration sectors.
  • Software Competency: Working knowledge of insurance estimating/claims management software (Xactimate, DASH, or Symbility) and advanced Microsoft Excel skills.
  • Educational Foundation: Associate or Bachelor’s Degree in Business Administration, Accounting, or Finance.
