(QPWB), a multi-office national law firm and the largest minority owned law firm in the United States, is seeking a Collections Specialist to join our Finance Department in Miami, FL. This is a full-time position offering competitive compensation and a comprehensive benefits package.About the RoleThe Collections Specialist will be responsible for managing and monitoring outstanding accounts receivable, following up on unpaid invoices, and assisting with the timely collection of client payments.This position requires a detail-oriented and proactive professional who is comfortable communicating with clients, attorneys, and internal departments to resolve outstanding balances and payment discrepancies.The ideal candidate will have prior accounts receivable or collections experience, preferably within a law firm or professional services environment, and possess strong communication, organizational, and problem-solving skills.Primary Duties and ResponsibilitiesManage and monitor assigned accounts receivable portfolios to ensure timely collection of outstanding balancesReview accounts receivable aging reports and identify overdue invoices requiring follow-upContact clients regarding outstanding invoices, payment statuses, and past-due balancesCommunicate professionally with attorneys, clients, and internal departments regarding collection mattersResearch and resolve payment discrepancies, billing disputes, and outstanding account issuesMaintain accurate records of collection activity, client communications, and payment arrangementsMonitor client accounts and follow up on outstanding payment commitmentsCollaborate with the Billing Department to resolve invoice discrepancies and facilitate payment processingPrepare and distribute accounts receivable reports, collection summaries, and aging analysesAssist with identifying and resolving unapplied payments, short payments, and other account discrepanciesReview outstanding balances and escalate collection concerns to management when appropriateMaintain organized documentation of collection efforts and account activityAssist with month-end accounts receivable reconciliations and reportingSupport the Finance Department with additional accounting and collections-related projects as neededQualifications2+ years of accounts receivable, collections, or related accounting experience preferredPrior law firm collections or accounts receivable experience strongly preferredExperience managing high-volume accounts receivable portfolios preferredFamiliarity with legal billing practices, invoice processing, and client payment proceduresStrong understanding of accounts receivable aging reports and collection processesProficiency in Microsoft Office Suite, particularly Excel and OutlookExperience with accounting, billing, or financial management software preferredExcellent written and verbal communication skillsStrong organizational and time-management abilitiesAbility to handle sensitive financial conversations professionally and effectivelyStrong problem-solving skills and attention to detailAbility to manage multiple accounts, priorities, and deadlinesAbility to work independently while collaborating with attorneys, billing staff, and Finance Department personnelProfessional, dependable, and capable of handling confidential financial informationWhat We OfferQPWB offers competitive compensation and a comprehensive benefits package for full-time employees, including:Medical, dental, and vision insuranceEmployer-paid life insurance and short-term disability401(k) with employer matchPaid vacation, holidays, and personal time offOpportunities for professional growth and advancement within a national law firmJoin a Team of Difference MakersJoining Quintairos, Prieto, Wood & Boyer, P.A.
