Position Overview
The Paralegal Manager is responsible for leading and overseeing the firm's paralegal team, ensuring the delivery of high-quality legal support services across practice areas. This role provides supervision, mentorship, and operational direction to paralegals while partnering with attorneys and firm leadership to optimize staffing, workflow management, training initiatives, and service standards.
The Paralegal Manager serves as a key resource for talent development, performance oversight, process improvement, and complex case support. This position plays an integral role in maintaining efficient legal support operations, enhancing team effectiveness, and ensuring exceptional service to both internal and external clients.
Primary Responsibilities
Team Leadership & Staff Management
- Recruit, onboard, train, and retain highly qualified paralegal professionals.
- Supervise daily activities of the paralegal team, ensuring assignments are completed accurately and within established deadlines.
- Provide ongoing coaching, mentorship, and performance feedback to support employee growth and development.
- Conduct regular meetings with team members to discuss workload capacity, performance objectives, professional development, and engagement.
- Administer performance reviews, attendance management, and corrective action processes in accordance with firm policies.
- Foster a collaborative, service-oriented team culture focused on accountability, responsiveness, and excellence.
Resource Planning & Workflow Oversight
- Evaluate staffing needs and coordinate resource allocation to support attorneys and practice groups effectively.
- Monitor workload distribution, utilization levels, and productivity metrics to ensure efficient operations.
- Assist with planning and staffing for large-scale litigation matters, high-volume projects, and trial teams.
- Partner with attorneys and department leadership to anticipate support requirements and implement staffing solutions.
Process Improvement & Training
- Develop and maintain standardized procedures, best practices, and workflow documentation for paralegal services.
- Identify opportunities to improve operational efficiency, service delivery, and quality control measures.
- Design and coordinate onboarding, continuing education, and professional development programs for paralegal staff.
- Support practice-specific training initiatives and facilitate knowledge-sharing across the department.
- Stay current on court procedures, filing requirements, litigation support practices, and relevant legal technologies.
Legal Support & Trial Preparation
- Provide guidance and oversight on complex filings, court submissions, and litigation support activities.
- Coordinate with docketing personnel to ensure deadlines, court dates, and case milestones are accurately tracked and maintained.
- Assist attorneys and litigation teams during all phases of trial preparation, including logistics coordination, technology planning, vendor management, and onsite trial support.
- Serve as an escalation point for challenging assignments, procedural questions, and service-related issues.
Relationship Management & Client Service
- Build and maintain strong working relationships with attorneys, practice groups, clients, and business support teams.
- Collaborate with firm leadership to assess service needs, identify improvement opportunities, and address performance concerns.
- Deliver exceptional customer service while maintaining professionalism and confidentiality in all interactions.
- Support special projects and additional initiatives as assigned by firm leadership.
Qualifications
- Bachelor's degree or equivalent professional experience required.
- Paralegal certificate preferred; advanced legal education or Juris Doctor is a plus.
- Minimum of five years of paralegal experience within a law firm or legal services environment, including substantial litigation experience.
- Prior experience supervising, managing, or mentoring legal support professionals.
- Strong understanding of litigation procedures, court rules, filing requirements, and trial preparation.
- Demonstrated ability to lead teams, manage competing priorities, and drive operational excellence.
