Marketing Manager

The Marketing & Communications Manager will support the Vice President of Marketing & Communications and work closely with senior team members to ensure smooth execution of marketing operations across communications, client and member‑facing programs, and marketing events. The role will act as an integrator within the team, coordinating workflows, maintaining operational discipline, and providing direct support to senior managers, particularly in the delivery of campaigns, events, and communications. The Manager will also apply practical AI tools to improve efficiency in content production, research, and workflow management. This is a full-time hybrid position, located in Houston. We are in the office every Tuesday and Wednesday from 10 a.m. - 3 p.m.; all other work is remote. The role reports to the Vice President of Marketing, who is based in Scotland. Key Responsibilities Marketing Operations & Integration Serve as an operational resource for senior managers, helping coordinate workflows, track deadlines, and ensure consistent execution across campaigns and projects. Maintain shared planning tools, calendars, and project trackers to support team coordination. Help prepare internal briefing documents, summaries, and reports for leadership. Support the Corporate Sponsorship Program by coordinating sponsor deliverables and event participation. Oversee Lex Mundi onboarding/offboarding tasks and deliverables. Communications & Content Draft, review, and distribute external email communications promoting Lex Mundi activities, events, and programs. Assist in developing member firm client‑awareness campaigns, including webinars and seminars. Maintain website pages related to sponsored events and external programs. Track and report developments in corporate counsel associations and external communications. Develop and review print and digital materials alongside our design agency. AI‑Enabled Workflow Support Use AI tools to assist with drafting, summarizing, research, and content preparation. Apply AI to streamline repetitive tasks, improve turnaround times, and support team efficiency. Maintain accuracy and quality control when using AI‑generated outputs. Manage email automation projects to increase ongoing touchpoints with members and clients. Relationship Coordination Support relationships with corporate counsel associations, including speaker coordination, participant recruitment, and program logistics. Help maintain communication with member firms regarding marketing activities and opportunities. Support member firms with data updates or concerns. Assist with other database management projects. Organize regional campaign logistics – oversee virtual events, coordinating materials, developing engagement campaigns, etc. Marketing Event & Program Support Coordinate planning and execution of sponsored events, including attendee management, logistics, materials preparation, and on‑site support when required. Liaise with event organizers, vendors, and member firms to ensure smooth delivery of jointly organized or co‑branded programs. Support pre‑ and post‑event communications, including drafting briefing notes, preparing follow‑up materials, and maintaining consistent information flow to stakeholders. For marketing events, assist with venue sourcing, contract coordination, and vendor management. Maintain accurate lead and attendee data from events and ensure timely entry into relevant systems. Coordinate virtual events and calls, assisting with programming, materials, communications, on‑call support, and post‑event tracking. Oversee the integration of on‑site branding materials for major conferences and events. Other Responsibilities Provide general marketing support as assigned by the Vice President of Marketing & Communications. Travel up to 10% as required for event support. Job Requirements 3–5 years’ experience in marketing, communications, or corporate events. Strong organizational and project‑management skills. Comfortable coordinating multiple concurrent tasks and deadlines. Clear, concise writing skills for email communications and briefing materials. Ability to work independently and maintain steady workflow discipline. Experience using practical AI tools for drafting, summarizing, or workflow support. Strong relationship‑building skills and a professional communication style. Bachelor’s degree required. Basic understanding of HTML code. Proficiency in the Adobe Creative Suite: Photoshop, Illustrator, and InDesign. Event and project management experience.
