Shadowscape is looking for a detail-oriented, self-motivated Business Operations & Accounting Manager with strong accounting/bookkeeping experience to own the full lifecycle of our client engagements—from deal close, to project setup, to invoicing and financial tracking. $29 - $34/hr

Role Description
Shadowscape is seeking a highly organized and detail-oriented Business Operations & Accounting Manager to help support the day-to-day operational backbone of the company.
This role is ideal for someone who enjoys wearing multiple hats across accounting, operations, HR coordination, compliance administration, and business support functions. You will work closely with leadership and our operations/project coordination staff to help keep the company running smoothly as we continue to scale.
This is not a traditional corporate accounting role. We are looking for someone proactive, adaptable, and capable of owning operational responsibilities with minimal supervision.
The role is hybrid-flexible, with an expectation of approximately 3–5 days per week in-office depending on workload and business needs.
This role will likely expand to multiple people over the next two years, but, as a small company, requires someone to wear multiple hats while we're relatively small.
Accounting & Financial Operations (Primary)- Manage accounts receivable/payable, reconciliations, and financial records
- Create and send invoices, track payments, and support monthly financial close
- Maintain accuracy within our accounting and bookkeeping platforms
- Prepare journal entries and assist with financial reporting
- Coordinate with external CPA/payroll providers as needed
- File and manage quarterly payroll and business tax obligations
- Maintain multi-state business registrations and compliance filings
- Assist with budgeting, cash flow tracking, and operational financial visibility
- Coordinate employee onboarding and offboarding processes
- Manage PTO tracking and employee administrative records
- Assist with payroll coordination and benefits administration
- Register employees and business entities with various state agencies as required
- Ensure operational compliance with state payroll/tax requirements
- Help maintain internal policies, SOPs, and operational documentation
- Maintain operational workflows across CRM, accounting, and project systems
- Support contract and engagement administration from signed agreement through invoicing
- Help identify process inefficiencies and operational gaps
- Build and improve internal SOPs and administrative processes
- Assist leadership with operational coordination and business administration tasks
- Work closely with our project coordination staff to ensure smooth operational execution
- 3–7+ years of accounting, and business operations experience
- Strong understanding of bookkeeping fundamentals and financial operations
- Experience preparing journal entries, reconciliations, and financial reporting
- Familiarity with quarterly payroll taxes, state registrations, and business compliance filings
- High attention to detail and strong organizational skills
- Ability to self-manage, prioritize tasks, and operate independently
- Strong communication and follow-through
- Comfortable working in a fast-paced, evolving small business environment
- Experience with payroll systems and operational HR coordination preferred
- Experience with the Zoho ecosystem strongly preferred
- Experience in cybersecurity, technology, consulting, or professional services environments is a plus
- Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred
