Permitting Coordinator

Location: Oak Brook, IL
Job Type: Full-Time
Pay: $21.00–$23.00 per hour, depending on experience

Position Overview

Unity Solar Group is seeking an organized and proactive Residential Solar Permitting & Inspections Coordinator to support our residential solar projects from permitting through final inspection approval.

This position is responsible for managing residential permit applications, contractor registrations, inspections, HOA approvals, project documentation, and communication with municipalities, utility providers, customers, sales representatives, and internal project teams.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple residential solar projects at different stages while proactively following up on outstanding items.

Key Responsibilities

• Prepare and submit permit applications for all residential solar projects.
• Monitor permit applications from initial submission through final approval.
• Communicate AHJ comments, permit revisions, corrections, and outstanding requirements to the appropriate team members.
• Complete and maintain contractor registrations for general and electrical contractors with municipalities and AHJs.
• Coordinate permit payments, permit pickups, online permit processing, and other permit-related requirements.
• Organize and maintain customer and project folders.
• Ensure current drawings, permits, approvals, inspection documents, and supporting paperwork are properly filed and updated.
• Add approved projects to the installation pipelines and maintain accurate project statuses.
• Identify projects requiring HOA approval.
• Prepare and submit HOA applications and supporting documentation.
• Follow up with HOAs until approval is received.
• Communicate with sales representatives when additional information, customer documentation, signatures, or other items are required to move a project forward.
• Schedule all required building, electrical, solar, and final inspections.
• Follow up with AHJs regarding inspection results and approvals.
• Track failed inspections and communicate required corrections to the appropriate team members.
• Coordinate re-inspections after corrections have been completed.
• Create, organize, and maintain inspection schedules for company inspectors and field personnel.
• Coordinate with customers regarding inspection access and scheduling when necessary.
• Proactively follow up with AHJs, customers, utility providers, sales representatives, inspectors, and internal team members.
• Clearly communicate project delays, pending requirements, failed inspections, permit issues, and other items that may impact project timelines.
• Maintain accurate internal tracking sheets and project records.
• Organize and document all permitting, inspection, HOA, and project-related paperwork.
• Assist with additional residential solar project coordination and administrative responsibilities as needed.

Qualifications

• Residential solar experience is a plus.
• Experience working with municipalities, building departments, permitting offices, or other AHJs preferred.
• Familiarity with ComEd and Ameren processes is a plus.
• Strong organizational and time-management skills.
• Ability to manage a high volume of active projects and follow-ups.
• Strong attention to detail and documentation.
• Excellent written and verbal communication skills.
• Strong follow-up skills and ability to take ownership of assigned projects.
• Comfortable communicating with customers, municipalities, inspectors, sales representatives, utilities, and internal teams.
• Ability to review and understand basic construction or solar plan sets is preferred.
• Proficiency with Google Workspace, Microsoft Office, spreadsheets, and project tracking systems.
