Human Resources Operations Specialist

The HR Operations Specialist provides execution-level support across core HR functions including recruiting coordination, onboarding administration, benefits administration, employee lifecycle management, and HRIS data management. This role works closely with the HR Operations Lead and is expected to operate independently within established HR processes, support the company’s transition to ADP Workforce Now, and serve as a reliable operational partner as the HR department scales. The ideal candidate brings hands-on HR experience, HRIS proficiency, and a strong service orientation. Essential Duties and Responsibilities HRIS Administration and Data Management Enter and maintain accurate employee data in the HRIS (ADP Workforce Now post-migration), including new hire setup, employment changes, status updates, and terminations. Support data validation, system testing, and employee training during and after the HRIS migration to ADP Workforce Now. Pull and distribute standard HR reports from the HRIS including headcount, turnover, benefits enrollment, and compliance-related reports; flag data discrepancies to the HR Operations Lead. Maintain HRIS data integrity by conducting periodic audits and correcting errors in coordination with the HR Operations Lead. Coordinate interview scheduling for hiring managers, including calendar management, candidate communication, confirmation, and logistics follow-up. Conduct reference checks for candidates as directed by the HR Operations Lead or hiring manager. Facilitate new candidate facility tours professionally and in a timely manner. Support ATS (Applicant Tracking System) maintenance, candidate status updates, and recruiting workflow tracking as directed. Onboarding Administration Administer the end-to-end onboarding process, including pre-hire documentation, I-9 verification, tax form collection, handbook acknowledgments, direct deposit setup coordination, and new hire HRIS data entry. Coordinate new hire training schedules, safety and compliance training routing, role-specific training coordination, and supervisor onboarding alignment. Conduct or coordinate new hire orientation sessions as needed; ensure a consistent and professional onboarding experience. Follow up on outstanding onboarding items and escalated incomplete documentation to the HR Operations Lead. Benefits Administration Support Support annual benefits open enrollment administration, including employee communications, enrollment tracking, carrier coordination, and deadline follow-up. Respond to routine employee questions related to medical, dental, vision, HSA, and related benefits; escalated complex matters to the HR Operations Lead or benefits broker. Assist with HSA contribution tracking and benefits-payroll reconciliation in coordination with the Payroll team. Employee Lifecycle and Records Process employee status changes, including promotions, transfers, rate changes, and terminations, in the HRIS with accurate documentation. Maintain confidential employee records in accordance with company retention practices and California recordkeeping requirements. Support offboarding documentation and coordinate administrative steps of the offboarding process; route payroll-related offboarding items to the Payroll team. Assist with leave of absence documentation intake and routing as directed by the HR Operations Lead. HR Ticketing System and Employee Support Serve as a first-line responder for HR employee inquiries submitted through the HR ticketing system; resolve routine questions and route or escalated appropriately. Identify tickets involving wage and hour concerns, leave, accommodation, harassment, or other sensitive matters and escalated immediately to the HR Operations Lead. Track ticket status, document resolution steps, and maintain confidential records of escalation decisions. Compliance and Reporting Support California wage and hour compliance tracking, including meal and rest break records, timekeeping accuracy, and wage notice requirements. Assist with I-9 audits, personnel file audits, and annual compliance filings as directed. Draft org announcements, internal HR communications, and process update notifications as assigned. Submit HR-related IFS purchase requisitions as directed by the HR Operations Lead. Perform other HR operations duties as assigned by the HR Operations Lead. Minimum Qualifications Two or more years of HR operations experience, including onboarding, benefits administration, HRIS, or recruiting coordination; manufacturing environment preferred. Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field; equivalent experience considered. Experience with HRIS platforms required; ADP Workforce Now strongly preferred. Working knowledge of California HR compliance, including wage and hour rules, I-9, and personnel recordkeeping. Strong organizational skills, attention to detail, and professional communication. Must be authorized to work in the United States. We do not sponsor H-1B or other work visas.
