TPD Programs Coordinator

Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading Performs consultative business operations support work on behalf of the Transportation Programs Division and in support of agency transportation project and program delivery. Work involves coordination of external projects, as well as leading division specific programs including newsletters, conferences, banquets, file retention, open records coordination. Work requires extensive contact with departmental staff, governmental organizations and private entities. May serve as lead worker. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence. Essential Duties: Represents the Department and participates on interagency groups, technical committees or special task force groups Conducts program or project analyses and develops and recommends solutions/methods to increase productivity/efficiency and/or streamline operations. Oversees and monitors the progress of current program initiatives or projects; evaluates pending program initiatives and projects for planning purposes; and consults and advises personnel and external contacts in policies and procedural requirements Provides training or technical support and assistance in program or project areas Serves as point of contact and/or liaison for programs or special projects with other departmental staff, governmental entities and/or the public. Develops and implements plans to communicate project methodology to interested groups and team members. Researches, identifies and provides recommendations to improve programs and/or operations. Coordinates program meetings, conferences, workshops; makes presentations. Prepares special reports by researching, collecting, analyzing, and summarizing information and trends. Leads and coordinates internal division business operations programs Oversees, compiles and distributes division specific program or project information, including statuses, meeting agenda, action items and notes; provides updates to management and stakeholders Monitors and identifies program or project progress against planned timelines, identifies risks or variances, and supports mitigation strategies to maintain approved scope and objectives. Responsible for division administrative and business functions to include inventory control, conference planning, file retention, division newsletter, legislation, and open records coordination. May serve as division legislative liaison and/or open records coordinator. Monitors and makes recommendations regarding administrative functions, reports, studies and specialized projects within the division. Supports and/or Leads division-wide initiatives by coordinating logistics, preparing materials, and assisting with meetings, workshops, conferences and other project deliverables Coordinates with cross-functional stakeholders, subject matter experts, and leadership to facilitate project activities, manage dependencies, and support issue resolution Assist in establishing long-range program objectives and specifies strategies and actions to achieve objectives. May serve as a lead worker by serving as a resource for complex questions; presenting workflow and operational updates to the supervisor/manager; providing input on team members’ career conversations; and approving leave requests to ensure operations coverage. Serves as a project lead by managing interim projects; distributing project-related work assignments; and evaluating project team members for the duration of the project. Performs other job responsibilities as assigned. Minimum Qualifications: Bachelor's Degree in Business Administration, Public Admin, Communications or related discipline. Relevant work experience may be substituted for degree on a year per year basis. Licenses and Certifications: Valid driver’s license. This position requires driving a state vehicle.
