Job Description
We are looking for a Property Administrator to join a commercial property management team in Charlotte, North Carolina. This contract opportunity is ideal for a detail-oriented individual who can manage lease administration, tenant records, and property documentation across a busy commercial portfolio. The role supports daily operations by partnering with property management staff, maintaining accurate system data, and helping keep tenant and property processes on track. Success in this position requires strong experience with commercial leases, excellent follow-through, and confidence working within Yardi-based environments.
Responsibilities:
• Administer commercial lease files by reviewing agreements, interpreting key terms, and updating records to reflect amendments, renewals, and other tenant changes.
• Maintain accurate tenant, lease, and property information in Yardi and related platforms to support reliable reporting and day-to-day portfolio management.
• Track insurance documentation and follow up with tenants as needed to ensure Certificates of Insurance remain current and compliant.
• Oversee work order activity by monitoring status, coordinating follow-up, and helping drive timely completion of outstanding service requests.
• Prepare and analyze operational reports tied to tenant activity, lease status, and property records for the property management team.
• Provide administrative support across a large commercial real estate portfolio, helping organize documentation and keep critical deadlines visible.
• Partner with Property Managers, Assistant Property Managers, and Maintenance staff to support smooth building operations and responsive tenant service.
• Promote consistency in internal workflows by identifying process improvements and offering guidance on property management system usage and best practices.• At least 3 years of experience in commercial property management, lease administration, or a closely related field.
• Strong ability to read and interpret commercial lease language, including amendments, renewals, and compliance obligations.
• Advanced hands-on experience with Yardi, Yardi Voyager, 7S, and Microsoft Office applications, with particular strength in Excel.
• Background managing tenant documentation, lease records, and compliance-related tracking within a property management setting.
• Proven organizational skills with the ability to balance multiple priorities in a fast-paced environment.
• Clear communication skills and a consistent approach to follow-up with tenants and internal stakeholders.
• Ability to work independently while collaborating effectively with cross-functional property management teams.
• Experience supporting large commercial portfolios or training team members on systems and procedures is preferred.
