Contract Details:

• Position Type: Contract
• Contract Duration: 6 months
• Pay Rate: $20.00–$22.00 / Hour (USD)
• Shift / Schedule: 7:00 AM – 5:30 PM, Monday–Friday. Must be able to work 5/10 workweek AND Saturdays/Sundays if needed. This position is NOT eligible for flex 9/80. Must work traditional work schedule — 40 to 50 hours per week (OT after 40 hours — adhere to State OT guidelines).
• Travel Requirements: Yes — personal vehicle to/from work; may have to take their car from one side of project to the other if needed. MVR will be part of the background check.
• Work Authorization: Applicants must be authorized to work for ANY employer in the U.S. We are unable to sponsor or take over sponsorship of an employment Visa at this time.

Job Summary:

The Department Assistant will provide administrative support for department management to ensure continuity of daily department functions and operations by collaborating to provide and present department information. This position coordinates with department management to provide administrative services in conjunction with department and business line goals and objectives.

Key Responsibilities:

• Assist with time entry for field craft payroll weekly.
• Assist with verifying time entered into jobsite badging system and advise on corrections as needed.
• Assist with submitting and obtaining craft correction paychecks.
• Assist with data entry into jobsite IRA tracking log.
• Assist with adding apprentice information in Baker Tilly third-party database.
• Assist with new hire paperwork and ensure accuracy and completion prior to sending to payroll.
• Assist with general document control processes.
• Assist with UPS/FedEx deliveries at the office and ensure they get to the shipper.
• Assist with managing the office supplies and order as needed.
• Assist with miscellaneous event and training set up.
• Finalize orientation paperwork for Spanish-speaking employees, assist with day-to-day Spanish-speaking with crew members, and translate documents/paperwork as needed.

Required Skills:

• Bilingual (English/Spanish) — required to assist with finalizing orientation paperwork for Spanish speakers, day-to-day Spanish-speaking with crew members, and translating documents/paperwork as needed.
• Knowledge of MS Access, Excel, and Word.
• Exceptional organizational, communication (written and oral), and prioritization skills.
• Ability to work autonomously.
• Ability to fulfill and complete urgent needs.
• Present self with a professional, mature, and positive demeanor.
• Ability to work with a variety of personalities.

Preferred Skills:

• Experience with Oracle preferred.
• Minimum of two years' experience in an administrative or coordinator function, preferably in a construction environment.

Education Requirements:

• High School Diploma or GED equivalent required.

• Minimum of two years' experience in an administrative or coordinator function.

Work Environment / Physical Requirements:

• Will be working on an active construction site in a field office trailer.
• Will need a vehicle that can drive on gravel roads to get to the jobsite.
• Work boots required.
• While performing the duties of this job, the employee is frequently required to stand; walk; feel; type; reach with hands and arms; talk and hear.
• The employee may occasionally lift or move up to 50 lbs.
• Specific vision abilities required by this job include close vision, peripheral vision, and ability to adjust focus.
• While performing the duties of this job, the employee may be regularly exposed to outside weather conditions including extreme heat and extreme cold temperatures.
• The employee is occasionally exposed to wet and/or humid conditions; moving mechanical parts; and fumes or airborne particles.
• The noise level in the work environment is usually low to moderate.
• The employee may be required to climb up and down stairs to and from the office jobsite trailer.
