This is a hybrid clinical and front-office position designed for an individual who is comfortable supporting healthcare providers while also managing patient scheduling, registration, telephone communication, and day-to-day patient-service functions. The Medical Assistant / Patient Services Coordinator serves as an important connection between patients, providers, nursing staff, behavioral health clinicians, case management, and administrative staff. The ideal candidate will have excellent customer-service skills, strong attention to detail, experience working in a healthcare environment, and the ability to maintain professionalism and confidentiality when assisting individuals receiving behavioral health, substance-use, and physical-health services. Essential Duties and Responsibilities Medical Assistant / Clinical Support Greet and prepare patients for scheduled clinical appointments. Obtain and accurately document vital signs, including blood pressure, pulse, temperature, respiratory rate, height, weight, and other measurements as appropriate. Review and update patient demographics, medication lists, allergies, pharmacy information, and other information within the scope of the position. Prepare examination and treatment rooms before and after patient encounters. Assist physicians, nurse practitioners, nurses, and other clinical providers with patient-flow activities. Perform appropriately authorized point-of-care or CLIA-waived testing after required training and competency validation. Properly label, handle, document, and process specimens when applicable and within assigned responsibilities. Assist with obtaining outside medical records, laboratory results, hospital records, and other clinical information requested by providers. Communicate provider instructions to patients when specifically directed and appropriate for the position. Route clinical questions, medication concerns, abnormal findings, and urgent patient concerns promptly to the appropriate licensed clinical professional. Maintain appropriate infection-control practices and clinical supply inventories. Assist with clinical forms, referrals, orders, and follow-up coordination. Maintain timely, accurate, and professional documentation in the electronic health record. Welcome patients and visitors in a professional, respectful, and trauma-informed manner. Complete patient check-in and check-out. Answer incoming telephone calls and route calls appropriately. Schedule, reschedule, and cancel appointments. Coordinate provider calendars and help maintain efficient patient flow. Make appointment reminder and follow-up calls. Assist with new-patient registration and collection of required forms and documentation. Verify and update patient demographic and insurance information. Obtain copies of insurance cards, identification, consents, and other required documents. Assist with insurance eligibility verification and administrative portions of authorization/referral processes as assigned. Communicate appointment requirements and general nonclinical information to patients. Monitor cancellations and no-shows and complete appropriate outreach according to iCare procedures. Coordinate transportation or other appointment-related information when assigned. Maintain an organized and professional reception and patient waiting area. Behavioral Health Responsibilities Because this position works within an integrated behavioral health setting, the employee must be comfortable interacting with patients experiencing mental health symptoms, substance-use concerns, emotional distress, or other behavioral health needs. The employee will: Maintain a calm, respectful, nonjudgmental, and trauma-informed approach. Immediately notify appropriate clinical personnel when a patient reports suicidal thoughts, homicidal thoughts, severe emotional distress, acute behavioral changes, significant withdrawal symptoms, or another potential safety concern. Follow iCare's crisis and emergency escalation procedures. Protect patient privacy and confidentiality. Never independently diagnose, clinically assess, counsel, prescribe, change medications, or provide clinical advice outside the individual's qualifications and assigned scope. Never independently perform nursing triage or behavioral health/crisis assessment unless separately licensed, credentialed, and authorized to perform those functions. Care Coordination & Administrative Support The position may also assist the clinical team with: Referral tracking and follow-up. Obtaining records from hospitals, primary-care providers, specialists, pharmacies, laboratories, and other healthcare providers. Coordinating follow-up appointments. Tracking provider requests and outstanding patient-care items. Communicating with pharmacies and healthcare offices as directed by authorized clinical staff. Assisting with prior-authorization documentation and tracking. Scanning, uploading, and properly indexing documents into the patient's record. Maintaining assigned patient and administrative tracking logs. Supporting case management and clinical teams with nonclinical coordination activities. Completion of a Medical Assistant training program strongly preferred. Medical Assistant certification such as CMA, RMA, CCMA, or equivalent preferred . The ideal candidate will have previous Medical Assistant and/or outpatient healthcare experience, strong customer-service and organizational skills, familiarity with electronic health records, and the ability to effectively balance clinical-support responsibilities with front-office duties. Behavioral health, mental health, psychiatry, substance-use treatment, or integrated healthcare experience is strongly preferred. Compensation: $18.00–$21.00 per hour, depending on experience, certification, and qualifications. Medical Assistant certification (CMA, RMA, CCMA, or equivalent) is preferred.
