Elevare Behavioral Health is seeking a compassionate and organized PRN Admissions Coordinator to support individuals and families seeking behavioral health and substance use treatment. This position serves as a primary point of contact throughout the admissions process, from the initial inquiry through screening, insurance verification, scheduling, and admission.

The Admissions Coordinator responds to prospective patients, families, and referral partners with urgency, empathy, and professionalism. This role works closely with Clinical, Operations, Business Development, and other internal teams to identify the appropriate level of care, remove barriers to admission, and support a smooth transition into treatment.

This position is fully on-site during the training period, with the opportunity to transition to a hybrid schedule once training is successfully completed and performance expectations are met.

• Respond to calls, web inquiries, chat messages, and text inquiries with professionalism, compassion, urgency, and strong customer service

• Conduct outbound follow-up on assigned leads to support patient engagement, referral communication, and admissions conversion

• Complete patient pre-screenings using Elevare’s Red, Yellow, and Green criteria while gathering clinical, psychosocial, mental health, and substance use information

• Support level-of-care coordination for Detox, Residential, PHP, IOP, and outpatient services based on patient needs and program criteria

• Verify insurance eligibility, behavioral health benefits, authorization requirements, patient financial responsibility, and financial clearance needs

• Coordinate admission logistics, including scheduling, transportation, required documentation, paperwork, and internal handoffs

• Partner with Clinical, Operations, Business Development, patients, families, and referral sources to resolve barriers and support timely admission decisions

• Maintain accurate call notes, lead activity, follow-up tasks, screenings, and patient information within CRM and EHR systems

• Meet performance expectations related to response time, lead follow-up, call quality, conversion, documentation, and admissions volume

• Maintain compliance with HIPAA, 42 CFR Part 2, patient rights, confidentiality requirements, accreditation standards, and facility policies

• High school diploma or equivalent required

• At least two years of experience in behavioral health admissions, healthcare intake, patient access, call center operations, or a related role

• Knowledge of mental health and substance use treatment services, including Detox, Residential, PHP, IOP, and outpatient levels of care

• Experience with insurance verification, behavioral health benefits, authorizations, or financial clearance processes

• Strong communication, customer service, rapport-building, organization, problem-solving, and de-escalation skills

• Ability to communicate calmly and effectively with individuals and families during stressful or urgent situations

• Experience using CRM, EHR, call-tracking, or lead-management systems

• Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint

• Valid driver’s license with a clean driving record

• Current CPR certification or ability to obtain certification within 30 days of hire

Education

• Bachelor’s degree in behavioral health, social services, healthcare administration, business, or a related field

• Familiarity with ASAM criteria and behavioral health admission standards

• Experience using Kipu, Dazos, CallTrackingMetrics, or similar systems

• Crisis prevention or de-escalation training, including CPI or an equivalent program

Schedule Expectations

This is a PRN, as-needed, on-site position supporting Elevare Behavioral Health’s Illinois programs. Schedule availability must include evenings, weekends, and holidays when admissions volume, staffing coverage, or operational needs require support.

Compensation

The hourly pay rate will be based on experience, education, qualifications, internal equity, and Elevare Behavioral Health’s compensation guidelines.
