Administrative Assistant (Part-Time)

Charlotte Independence Soccer Club

Description The Part-Time Administrative Assistant will be the first point of contact with members in the office and will provide excellent customer service while answering their questions. This position will also help with all email/phone requests from the membership to ensure proper follow-up. We are looking for people who are eager to learn, have a lot of energy and can bring excellent customer service skills in a fast-paced environment. Job Responsibilities and Duties Answer all inbound phone calls including answering live calls and handling all voicemails Manage inbound new lead emails/form fills and direct them to the appropriate staff member Manage inbound Recreation emails and direct them to the appropriate staff member Greet members that come into the office and assist them with their needs Assist with heat pressing in the office Responsible for sales and inventory tracking of training gear when in the office Ad hoc reporting, at the request of the Director of Member Services Guide members in understanding PlayMetrics (registration system) navigation to assist with members' questions, escalating to Member Services when needed Assist with food ordering and reservations for club events Keep inventory of office supplies Manage month-end inventory of training gear/hoodies in both office and warehouse Reconcile cash boxes (t-shirt sales and petty cash) at month-end Responsible for general office duties Communicate with Directors/coaches as needed on items brought to front office Do a weekly inventory check and keep items stocked in office (including office supplies and training gear) Communicate inventory/office supply needs to Director of MS Keep office organized and tidy Requirements High attention to detail with a strength in time-management and organization skills Proficiency with Microsoft Office 365 and the ability to learn and master new software programs Strong basic math and organizational skills, including the ability to accurately process payments, reconcile balances, and maintain inventory counts Excellent written and verbal communication skills Experience working on a team as well as independently High School Diploma Proven experience in customer service role Available to work all scheduled office hours (see below) Ability to communicate in Spanish is a plus, although not a requirement Flexible and open to change Must have authorization to work in the U.S. Office Hours Monday - Closed Tuesday: 12PM-7PM Wednesday: 12PM-7PM Thursday - 9AM-3PM Friday - 9AM-1PM Total 24 hours/week Equal Employment at CISC Charlotte Independence Soccer Club is an equal opportunity employer.
