Job Title: HR Coordinator / Entry-Level Recruiter

Job Description

This HR Coordinator / Entry-Level Recruiter role supports talent acquisition and onboarding efforts across the organization. You partner closely with hiring managers and the HR team to source and screen candidates, coordinate recruitment activities, maintain applicant tracking and HR systems, and ensure a smooth and positive onboarding experience for new employees. This position is ideal for someone who is highly organized, professional, customer-service focused, and eager to build a long-term career in Human Resources and Talent Acquisition.

Responsibilities

• Make outbound calls and actively source candidates for open positions.
• Review incoming applications and resumes to identify qualified candidates based on role requirements.
• Conduct initial phone screenings to assess candidate qualifications, experience, and cultural fit.
• Schedule interviews and coordinate communication between candidates and hiring managers.
• Maintain accurate and up-to-date candidate records within the Applicant Tracking System (ATS).
• Ensure timely follow-up with candidates and deliver a positive candidate experience throughout the hiring process.
• Assist with posting job openings on job boards and other recruiting platforms.
• Support recruitment events, career fairs, and campus recruiting initiatives as needed.
• Maintain employee records and personnel files within the Paylocity HRIS.
• Assist with processing new hire paperwork and employment documentation.
• Support employee data entry, updates, and reporting within HR systems.
• Ensure compliance with company policies and applicable employment regulations.
• Respond to employee inquiries related to onboarding and HR processes in a timely and professional manner.
• Coordinate pre-employment activities, including background checks, references, and onboarding documentation.
• Facilitate new hire onboarding and orientation sessions to help employees integrate smoothly into the organization.
• Ensure all new hire paperwork is completed accurately and submitted on time.
• Partner with managers to ensure new employees receive the tools, equipment, and resources needed for a successful start.
• Track onboarding milestones and assist with employee integration and engagement initiatives.
• Support special HR projects and initiatives as assigned.
• Assist with employee engagement and retention programs.
• Provide general administrative support to the HR department.
• Perform other related duties as assigned by HR leadership.

Essential Skills

• High school diploma or equivalent.
• Strong organizational and time management skills with the ability to manage multiple priorities.
• Excellent verbal and written communication abilities.
• Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Strong attention to detail and accuracy in documentation and data entry.
• Demonstrated professionalism, reliability, and a strong work ethic.
• Ability to provide high-quality customer service to candidates and employees.
• Comfort making phone calls and communicating with candidates and internal stakeholders.

Additional Skills & Qualifications

• Bachelor's degree in Human Resources, Business Administration, Communications, Psychology, or a related field is preferred.
• Internship, recruiting, customer service, administrative, or HR experience is a plus.
• Experience working with an Applicant Tracking System (ATS).
• Experience using HRIS platforms such as Paylocity.
• Interest in recruiting, sourcing, talent acquisition, onboarding, and human resources.
• Ability to screen resumes and candidates effectively.
• Strong relationship-building skills with candidates and employees.
• Positive attitude and willingness to learn.
• Self-motivated and proactive approach to work.
• Adaptability in a fast-paced environment.
• High level of integrity and ability to maintain confidentiality.
• Very willing to train candidates who show potential and enthusiasm for HR and recruiting.

Work Environment

This position operates 100% on-site with standard working hours from 7:00 a.m. to 4:00 p.m. The culture is laid-back and casual, with employees typically wearing jeans and t-shirts on-site, while professional attire is expected for video interviews. The role supports recruitment activities across locations, with particular attention to coordinating effectively with a corporate office in a different time zone. The environment is hands-on and may require steel-toed boots, reflecting a setting where safety and compliance are important. You work closely with the HR team in a collaborative, supportive atmosphere that values reliability, professionalism, and a strong customer-service mindset.

This is a Contract to Hire position based out of Pittsburgh, PA.

The pay range for this position is $20.00 - $22.00/hr.
