Shipping & Receiving Coordinator

Description About the Role Envases Ohio is looking for a Shipping & Receiving Coordinator to join our Logistics team. This position plays an important role in keeping our manufacturing operations moving by coordinating daily inbound and outbound shipments, maintaining accurate inventory records, and supporting on time delivery of materials and finished products. The ideal candidate is organized, detail oriented, dependable, and comfortable working in a fast paced, high volume manufacturing environment . This person will work closely with the Logistics Manager, warehouse team, plant operations, quality, customer support, and freight carriers to ensure shipments are accurate and moving efficiently. Requirements ESSENTIAL JOB FUNCTIONS: Shipping: Coordinate daily outbound shipments to ensure finished goods are shipped accurately and on time to meet customer commitments. Prepare and process shipping documentation, including bills of lading (BOLs), packing slips, and other required shipping documents. Verify finished goods and shipment quantities against customer orders and shipping documentation. Coordinate with carriers and third-party logistics providers to schedule pickups and deliveries. Check in freight drivers and assign dock doors as needed. Monitor the status of shipments and communicate any delays, discrepancies, or issues to the appropriate personnel. Ensure finished goods are properly prepared and staged for shipment. Maintain accurate and timely shipping transactions within the ERP/WMS system. Work with plant operations, quality, and customer support teams to resolve shipping and inventory discrepancies. Support continuous improvement efforts related to shipping accuracy, efficiency, and customer service. Receiving: Coordinate the receiving process for incoming raw materials, components, supplies, and other materials needed to support plant operations. Verify incoming shipments against purchase orders, bills of lading, packing slips, and other documentation. Inspect incoming materials for quantity, condition, and compliance with applicable requirements. Ensure all received materials are accurately documented and entered into the ERP/WMS system. Coordinate the proper storage and organization of received materials to maintain an efficient warehouse and accurate inventory. Communicate with suppliers and carriers to resolve shortages, damaged materials, incorrect shipments, or other receiving discrepancies. Ensure receiving transactions are completed accurately and in a timely manner to prevent inventory backlogs. Inventory Control: Maintain accurate records of raw materials, components, finished goods, and other inventory. Perform inventory transactions, including receipts, stock transfers, adjustments, and cycle counts. Maintain real-time inventory accuracy within the ERP/WMS system. Work closely with warehouse and plant personnel to identify and resolve inventory discrepancies. Monitor inventory levels and communicate potential shortages or overages to the Logistics Manager. Support inventory control practices that minimize errors, shortages, overages, and transaction backlogs. Maintain accurate documentation to support inventory traceability and accountability. Documentation and Reporting: Prepare and maintain accurate shipping, receiving, and inventory records. Generate reports related to shipping, receiving, inventory transactions, and logistics activity. Verify that required documentation is complete and accurate. Ensure shipping and receiving activities comply with company policies, procedures, quality requirements, and applicable safety standards. Provide regular updates to the Logistics Manager regarding shipping and receiving activities, discrepancies, delays, and other operational concerns. Maintain organized records to support accurate inventory and logistics reporting. Customer Service and Communication: Serve as a point of contact for internal and external stakeholders regarding shipping, receiving, delivery, and inventory questions. Communicate professionally and effectively with freight carriers, suppliers, warehouse personnel, plant operations, quality, customer support, and management. Address shipping and receiving issues in a timely manner and work toward practical solutions. Build and maintain positive working relationships with carriers, suppliers, coworkers, and other business partners. Communicate changes, delays, or concerns that may impact production or customer delivery schedules. Demonstrate professionalism, dependability, and a team-focused approach in all interactions. EDUCATION & EXPERIENCE: Education: High School Diploma or GED required; Associate degree in Logistics, Supply Chain, Business, or a related field preferred. Experience: 2–4+ years of shipping, receiving, logistics, or inventory control experience within a high-speed manufacturing or distribution environment preferred. Food packaging or manufacturing experience is a plus. Technical Skills: Proficiency with ERP/WMS systems and Microsoft Office Suite, including Excel and Outlook. Detail & Volume Focus: Strong attention to detail, inventory accuracy, organization, and ability to manage a high volume of transactions. Communication & Adaptability: Effective written and verbal communication skills with the ability to work effectively with logistics management, carriers, suppliers, warehouse personnel, and plant staff. SOFTWARE/COMPUTER SKILLS & EXPERIENCE: Intermediate level of knowledge in basic hardware and software using a variety of computer operating systems and programs, including Microsoft Word, Excel, OneNote, PowerPoint, Google Workspace, Outlook/Gmail, and website-based software. Ability to learn new software systems, ERP/WMS platforms, and data management systems quickly. Proficient keyboarding and typing skills. Prior experience using software to generate reports, shipping documents, schedules, and inventory records. Experience with ERP or warehouse management systems preferred. Prior experience using SAP preferred. ENVIRONMENTAL & PHYSICAL FACTORS: The physical demands and work environment described below represent the activities and surroundings of the position. Employees must wear required personal protective equipment, which may include safety glasses, hearing protection/earplugs, steel-toed shoes, cut-resistant gloves, and other PPE as required by the work area or task. HOURS / SPECIAL CONDITIONS: Hours will vary depending upon the assigned shift and operational needs. The position will typically work eight-hour days, five days per week, with flexibility required to meet plant operational and customer needs. Schedule may vary based on production requirements, shipping and receiving volumes, customer demands, and carrier schedules.
