Receptionist / Customer Service Representative

Company: AlphaGraphics Position: Receptionist / Customer Service Representative Employment Type: Full-Time Schedule: Monday–Friday About The Role AlphaGraphics is looking for a friendly, organized, and dependable Receptionist / Customer Service Representative to be the first point of contact for our customers and help keep our front office running smoothly. This position is ideal for someone who enjoys working with people, is comfortable juggling multiple tasks, and takes pride in providing excellent customer service. You will greet customers, answer phones and emails, assist with order pickups and basic requests, and provide administrative support to our sales, customer service, design, and production teams. Experience in the printing or signage industry is helpful, but not required . We are looking for someone with a positive attitude who is organized, dependable, and willing to learn. Responsibilities Greet customers and visitors in a friendly and professional manner Answer and direct incoming phone calls Monitor incoming general emails and route requests to the appropriate team member Assist customers with order pickups and basic order questions Gather information from customers for new quote and order requests Enter and update customer and job information in our system Process customer payments when needed Keep the front desk, lobby, and customer areas organized and presentable Assist with filing, scanning, data entry, and other administrative tasks Help coordinate incoming and outgoing packages and deliveries Communicate clearly with customers regarding order status, pickups, and next steps Support the sales, customer service, design, and production teams as needed Follow established company processes and procedures Help identify problems and communicate them to the appropriate team member Maintain a professional and helpful attitude, even during busy periods Qualifications Strong customer service and communication skills Friendly, professional, and comfortable speaking with customers in person and over the phone Organized and detail-oriented Able to manage multiple tasks and priorities Dependable and punctual Comfortable using computers, email, and basic office software Willing and able to learn new software and processes Able to work independently while also being a team player Previous receptionist, administrative, retail, or customer service experience preferred Printing, signage, promotional product, or related industry experience is a plus, but not required What We're Looking For Does the Right Thing – Acts with integrity and takes care of our customers and team Is Fun – Brings a positive attitude to work and contributes to a great team environment Commits to the Process and Stays Flexible with the Approach – Follows established procedures while adapting when situations change Figures It Out – Takes initiative, asks questions, and looks for solutions Raises the Standard – Takes pride in their work and looks for ways to make the customer experience better Physical Requirements This position is primarily an office/front-desk role but may occasionally require assisting with customer orders and packages.
