Position Details

Emergency Hire - Temporary position lasting at most 90 days with an option of being extended to 180 days.

Hiring Preference

Eligible on-campus applicants in California State University Employees Union (CSUEU) Bargaining Units 2,5,7, and 9 will be given first consideration in the recruitment.

Position Summary

Under the direct supervision of the Director, the Office Operations Coordinator is responsible for primary personnel and budgetary support along with planning and organizing the total administrative operations of the Disability Access Center (DAC) and ensuring that the personnel, budgetary, and administrative objectives of the department area. The Office Operations Coordinator is responsible for overseeing, analyzing, documenting, and recommending proper courses of actions related to day-to-day operations, administrative workflow, and office policies and procedures. The incumbent is responsible for general and special administrative functions within DAC and providing administrative support to the Director, Associate Director, and Coordinators.

The Office Operations Manager must have thorough knowledge of budget policies, procedures, and functions of DAC and the university in order to coordinate budget, personnel, and administrative operations. This position requires extensive interaction and a positive working relationship with DAC staff and the campus community, which includes university staff, faculty, and students.

FLSA: Non-Exempt (eligible for overtime compensation)

Anticipated Hiring Range: $25.19 per hour (Step 1)

CSU Classification Salary Range: $4,367 per month (Step 1) - $6,362 per month (Step 20)

Salary step placement will be determined based on relevant qualifications and professional experience.

Department Information

The Disability Access Center (DAC) works collaboratively with students, faculty, staff, and administrators to provide a wide range of academic accommodations that ensure disabled students have equal educational access.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications

Experience:

1. Experience and proficiency using standard office equipment and software such as Microsoft Word, Outlook, Excel, Common Management Systems (CMS), Common Financial Systems (CFS), Finance Data Warehouse (FDW), COGNOS and other software systems used by department.

Knowledge, Skills, and Abilities:

1. Working knowledge of budget, payroll, personnel, and procurement policies and procedures.
2. Working knowledge of applicable university infrastructure, policies, and procedures.
3. Ability to use Excel to perform budget plans and projections. Ability to reconcile expenses and to identify and address discrepancies.
4. Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
5. Ability to make independent decisions, maintain confidentiality, and exercise sound judgment.
6. Ability to organize and plan work tasks and projects, to maintain multiple priorities, and to anticipate and address problems in a proactive manner.
7. Demonstrated ability to effectively interpret, organize, and present information and ideas in writing and oral formats.
8. Demonstrated ability to establish and maintain effective and collaborative working relationships within and outside of the work group and serve as a liaison for the organizational unit.
9. Ability to recruit and train others on new skills and procedures, as well as provide lead work direction.
10. Ability and/or interest in working with individuals with disabilities.
11. Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

Preferred Qualifications

1. A Bachelor's Degree from an accredited university.
2. Experience with personnel administration in a bargaining-unit environment.
3. One or more years of experience working with personnel and/or financial administration.
4. Two or more years of administrative work experience.
5. Experience supporting administrative departments or serving as a liaison for the organizational unit.
6. Thorough knowledge of policies, procedures, and regulations pertaining to personnel and budget processing in higher education.
