Job Summary:

The Director of Clinical Administration is responsible for the integration of clinical and administrative functions , ensuring that healthcare delivery is efficient, compliant, and patient-focused. The Director of Clinical Administration will act as a bridge between medical staff, patients, and administrative operations while assuring compliance by all programs with the overall rules and regulations under which the Center operates.

Works closely with Chief Medical Officer, Chief Nursing Officer and Quality Assurance-Process Improvement Manager.

Essential Functions:

• Collects data for purposes of evaluating a process. 
• Organizes the work flow of medical support staff and Physicians/Advanced Practice Providers to support organization budget and community needs. 
• Organizes work flow for Physician’s and Advanced Nurse Practitioners to support organization budget and community needs. 
• Assists COO by observing implementing and evaluating specific duties assigned to particular staff and addressing findings.
• Assists COO in closely supervising front staff and clinical staff that the routine work process is being conducted in a safe and effective manner.
• Responsible for dealing with compliance of different departments as it pertains to the medical support staff.
• Monitors occurrence/incident reports as it affects providers, medical support staff and/or departments and works with COO and CMO to analyze and implement change if needed.
• Assists CMO and Quality Assurance/Process Improvement Manager in addressing patient complaints and request for provider changes in a professional, courteous and timely manner and reports findings via the Center’s Incident Reporting Process.
• Ensures that patient services are delivered in a professional and confidential manner.
• Supervises the coordination of all inter-departmental services and ensures policy and procedure adherence by all programs involved.
• Assists to ensure that all departments maintain updated department(s) clinic manuals/program and protocols.
• Assists to ensure that all departments adhere to the aforementioned manuals and protocols.
• Assesses department’s capacity for absorbing urgent, walk-in, same-day patient requests to be seen on day that patient presents.
• Works with each clinical department in evaluating clinic flow and/or program operation
• Participates in Quality Improvement/Risk Management activities
• Prepares and submits required reports
• Ensures that adequate number of patients are assigned to provider in accordance with organizations budget and community need
• Ensures that billable encounters are signed off for billing in a timely manner. 
• Serves on the Center’s Compliance/Performance Improvement/Risk Management (CPIRM), and Safety Committees.
• Ensures plan for the achievement of the Center’s specific clinical objectives reflective of the Center’s Strategic Plan and periodically reviews and evaluates such plan in conjunction with Senior Leadership
• Review approved vacation, leave, work schedules and CME request in conjunction with Chief Medical Officer for Physicians and Advance Practice Providers to meet the needs of the community and organizational budget.
• Coordinates with Chief Medical Officer, Chief Nursing Officer and Quality Assurance/Process Improvement Manager on quality improvement process for the adoption of standards and benchmarks for clinical services including organizational accreditation.
• Communicates and demonstrates the mission, ethics and goals of the facility.
• Attends all assigned internal meetings
• Performs other related duties as assigned.

• Skilled at maintaining a good rapport and a cooperative working relationship with departments and staff.
• Ability to work in a team environment.
• Strong leadership and team management
• Excellent interpersonal and communication skills to liaise between clinical and administrative staff
• Problem-solving and decision-making skills to handle high-pressure environments
• Basic HIPAA knowledge

 

Minimum Qualifications:

• Masters in Public Health, Health Administration, Business Administration, Nursing or related field preferred.
• Experience in the clinically related management aspects of primary care administration.
• Experience in community oriented or population-based medicine.
• Experience in budgeting, staffing and patient care coordination
• Experience in requirements for Joint Commission, Primary Medical Home, and Health Resources Service Administration preferred.
• Leadership experience in developing and promoting health outcome measures, clinical pathways and other methods of determining and measuring outcomes with clinical staff.
