Description

This employee will be responsible for the scheduling and verifications of required pre-authorizations for Radiology, Cardiology, Chemotherapy, and other outpatient services. This employee will have to work closely with the Ancillary departments, Admitting, Business Office and Physician Offices.

Job Responsibilities

• Provide excellent customer service by promptly acknowledging each patient upon their arrival to the department. Quickly and efficiently address all of the patient needs in a friendly, caring way. Know and relay any information to the patient. e.g. wait time, special instructions etc.
• Attend to the Scheduling Office and/or Front Desk while answering facility switchboard and transferring phone calls to the appropriate location.
• Schedule patients in Meditech for all Radiology modalities, follows the protocols for such scheduling, obtains proper paperwork, consent/required signatures in accordance of quality standards and maintaining accuracy.
• Obtain orders and pre-authorizations from physician offices.
• Communicate closely with interdepartmental staffs coordinating the schedules and obtaining proper paperwork, orders and previous diagnostic testing when needed.
• Enter in all Radiology/Cardiology orders for each modality. Alert the proper radiology modality staff member that their patient has arrived and is ready for their test.
• Complete CT protocol forms for all CT patients, email to Anderson prior to the exam. Follow up to make sure that protocol is received before appointment date and give a copy to the CT tech.
• Ensure patients that require lab work for certain tests do so in a timely manner that will not disrupt the schedule.
• Review Radiology reports and disperse to the proper department and/or clinic.
• Print the next day schedule, attach orders and turn in to Patient Access and Radiology.
• Process all requests for Radiology medical records. Obtain proper documentation and signatures upon receipt of the requested records.
• Transfer imaging to other facilities in our system when requested.
• Provide coverage for the Specialty Clinic and Screener. e.g. breaks, lunches etc.
• Act as a receptionist in the Specialty Clinic when needed including acting as an assistant to Dr. Bell when required.
• Maintain certain protocols for certain doctors in the Specialty Clinic. Communicate closely with their staff members to best serve our patients.
• Coordinate and participate in the maintenance of various files, logs and records ensuring the accuracy and completeness of information.
• Demonstrate good positive communication skills with patients, families, and medical staff as well as co-workers.
• Show initiative. Tasks are completed before the end of shift and aids in the preparation for the next day. Uses time wisely, does not allow for unimportant interruptions. Able to multi-task, prioritize work, and complete it in a timely manner.
• Demonstrates knowledge of the department and management line of authority and follows proper lines of communication. Shows good problem solving skills yet seeks guidance and direction from the scheduling supervisor when necessary.
• Adhere to all hospital and scheduling department policies, procedures, rules and regulations, while meeting the requirements of the Code of Conduct and hospital compliance program.
• Act as a greeter when patients enter the building. Greet them, direct them to sign in. If a vendor or guest enter the building, make sure they are provided with a visitor/vendor wrist band.

Qualifications

Education/Experience Requirements and Other Requirements:

High school diploma or equivalent required. Prior customer service experience is required. Medical terminology course or background preferred. Previous medical office experience is preferred.

Must have data entry, computer, organizational and accurate typing skills. Must be able to work with interruptions and pay attention to detail. Excellent communication skills are a must. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Ability to read, analyze, and interpret general clerical procedures. Ability to effectively present information and communicate with co-workers, patients, and the general public. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to exercise independent judgement and give or take constructive criticism well. Ability to learn both mistakes and successes.

The position requires a self-motivated individual to know what needs to be done and to follow through in carrying out the day to day task to keep the department running smoothly. This position requires an individual that can provide the support and resources to other staff, as needed.
