Import Coordinator

DispatcherThe Import Coordinator supports the import logistics process by reviewing documentation, coordinating deliveries, and ensuring accurate data entry across systems. This role works closely with internal teams, transportation providers, and warehouses to track freight, reconcile counts and charges, and maintain up-to-date shipment information. The Import Coordinator contributes directly to operational efficiency, customer satisfaction, and departmental profitability.ResponsibilitiesReview import documentation and identify all pertinent information required for processing shipments.Perform piece count reconciliation to ensure shipment accuracy and resolve discrepancies promptly.Enter shipment, delivery, and billing information accurately into internal systems.Look up and update arrival notice information to keep all stakeholders informed.Trace freight as needed to monitor shipment status and proactively address delays or issues.Assist with updating and maintaining Cargowise system filters to ensure data accuracy and usability.Create Delivery Orders and Delivery Instructions as needed to support timely and accurate deliveries.Obtain quotes from truckers, warehouses, and related service providers to support shipment planning and cost control.Maximize profit margins for the department by selecting cost-effective service options while meeting service requirements.Identify and coordinate the necessary equipment for deliveries to ensure safe and efficient handling of freight.Obtain Proof of Delivery (POD) and verify that deliveries meet customer and internal requirements.Obtain delivery charges, reconcile any disputed charges, and work with vendors or internal stakeholders to resolve discrepancies.Assist Import Customer Service Representatives with daily functions and tasks as needed.Perform periodic clean-up and maintenance of Cargowise system filters to improve system performance and data quality.Communicate with customers, carriers, and internal teams via email and phone, choosing the most effective communication method based on the situation.Follow up and follow through on shipment matters to ensure issues are resolved and commitments are met.Shift between tasks as priorities change while maintaining a positive and professional approach.Identify problems in the import process and suggest possible solutions to improve efficiency and service quality.Essential SkillsExperience with import logistics processes, including documentation review and shipment coordination.Proficiency in data entry with strong attention to detail and accuracy.Customer service experience, with the ability to communicate clearly and professionally via email and phone.Familiarity with documentation processes related to imports, including bills of lading and related freight documents.Administrative support experience in a logistics, freight forwarding, or transportation environment.Proficiency with Microsoft Office and Microsoft systems, including Outlook, for email and documentation management.Ability to perform order entry, invoicing, and dispatch-related tasks in a logistics setting.Strong verbal and written communication skills.Professional appearance and demeanor in an office environment.Ability to follow instructions, adhere to procedures, and complete tasks with minimal supervision.Capability to follow up and follow through on shipment matters until resolution.Ability to shift tasks and priorities without frustration while maintaining productivity.Critical thinking skills with the ability to identify problems and consider possible solutions.Team-oriented mindset with a willingness to collaborate and support colleagues.Self-starter and "go-getter" attitude, demonstrating initiative and ownership of tasks.Receptiveness to determining when to transition from email communication to a phone call for more effective resolution.Promotable mindset, demonstrating reliability, professionalism, and a desire to grow within the organization.Additional Skills & QualificationsExperience working with freight forwarders or in a freight-focused environment.Knowledge of logistics operations, including dispatch, freight tracing, and coordination with carriers and warehouses.Familiarity with Cargowise or similar logistics and freight management systems.Ability to obtain and compare quotes from truckers, warehouses, and related service providers.Experience reconciling delivery charges and resolving billing disputes with vendors or partners.Strong organizational skills with the ability to manage multiple shipments and tasks simultaneously.Positive attitude and willingness to assist where needed, including taking on additional responsibilities without being asked.Comfort working in a fast-paced environment that requires flexibility, responsiveness, and proactive problem solving.Work EnvironmentThe Import Coordinator works 100% onsite in an office environment. The role involves frequent use of computers, Microsoft Office applications, email (particularly Outlook), and logistics systems such as Cargowise to manage shipment data and communication. The position requires consistent professional appearance and demeanor while interacting with colleagues, carriers, and customers. The work setting is structured and collaborative, with opportunities to support team members and grow into additional responsibilities as performance and initiative are demonstrated. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
