Order Entry Specialist

We are seeking a dedicated Order Entry Specialist to generate customer quotes, enter sales orders, and process order-related documentation with precision and efficiency. This role involves reviewing purchase orders for completeness, following up with customers for any missing details, and maintaining accurate records within our ERP/CRM system. You will coordinate with internal teams to ensure timely order fulfillment and manage order adjustments as needed.

Qualifications:

• 2+ years of recent experience in customer support, order entry, or related fields.
• Strong attention to detail and organizational skills.
• Ability to manage multiple priorities simultaneously.
• Experience with ERP, CRM, or order management systems.
• Proficiency in Microsoft Office, including Excel, Outlook, and Word.
• Ability to work independently while proactively asking questions.

Work Environment:

Monday through Friday, from 8:00 AM to 5:00 PM, with a 1-hour lunch break. Fully onsite.

Responsibilities:

• Generate customer quotes and enter sales orders promptly and accurately.
• Review purchase orders to ensure completeness and accuracy before processing.
• Follow up with customers regarding order details, revisions, and confirmations.
• Maintain and update customer, pricing, product, and order information within the ERP/CRM system.
• Coordinate with internal teams to facilitate order fulfillment, shipping schedules, and delivery timelines.
• Process return material authorizations (RMAs) and related order adjustments.
• Monitor open orders and proactively communicate updates and potential delays.
• Generate and maintain order entry reports and supporting records.
• Utilize company systems and sales tools including Acumatica, Expensify, Google Docs, and Webex.
• Support sales operations and provide administrative assistance to internal departments.
• Ensure accuracy of customer records, pricing information, and order documentation.
• Contribute to continuous improvement efforts related to order processing and workflow efficiency.

Job Type & Location:

This is a Permanent position based out of Palatine, IL.

Pay and Benefits:

The pay range for this position is $23.07 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
