Parish Receptionist

Position: Receptionist This part-time position provides support at Sacred Heart in Imlay City and St. Cornelius in Dryden, four days a week, Tuesday thru Friday. This position will travel within the two parishes, 1 ½ days at each parish. The receptionist is the first point of contact and provides essential administrative support that keeps the parish running. It requires strong interpersonal and collaborative skills and a willingness to work with staff and volunteers in all areas of parish life. Responsibilities Welcome parishioners and visitors Answer calls and emails Manage parish calendars Provide information about parish services, events and ministries Record and deliver clear and accurate messages Provide support for sacramental celebrations including registrations, scheduling, paperwork and communication with families Register new parishioners and update household records Process reports and data entry Schedule and assist with Baptisms, funerals, wedding and Mass intentions Maintain sacramental and parish records with accuracy and confidentiality Prepare certificates and notifications as needed Record offertory collections into the database Order and maintain office supplies Distribute mail and handle outgoing mailings Operate and maintain office equipment Provide clerical and secretarial support Assist with parish mailings, labels, bulletins and communications Prepare materials for special events and parish functions Provide updated information to the parish webmasterMaintain accurate inurnment records and related family files Maintain complete inurnment records, including cremation certificates and related documentation Qualifications and Skills High school diploma or equivalent required Strong interpersonal and customer service skills Ability to handle personal, sacramental and financial information with discretion and confidentiality Detailed oriented with strong organizational skills Comfortable handling financial information and data entry accurately Proficient with Microsoft Office (Word, Excel, Outlook) Ability to learn the parish management software Able to multitask and prioritize in a busy office environment Comfortable interacting with parishioners during sensitive life events Dependability, punctuality and availability for an agreed, consistent work schedule Office, customer service or administrative experience is preferred Ability to communicate in English (required)and Spanish (preferred) Working conditions Office setting with regular computer use Periods of sitting, standing and light lifting Occasional evening or weekend support for parish events may be requested.
