University Program Associate Recruitment Range: \$35,589 to \$43,919 The Office Auxiliary & Business Services is a unit of the Division of Business and Finance. Its primary purpose is to provide total financial management of essential goods and services to students, faculty, staff, and other clientele. The unit supports the institution’s mission through self‑supported operations, servicing individuals and supporting the institution’s mission. Departments include Auxiliary Administration, Venue Reservations, Book Store, Food Service, Mail Services (including Central Receiving), ID Services, Ticket Office, Royalties Management, and Property Rental. Responsibilities Provide administrative and operational assistance to Auxiliary & Business Services in support of activities and services. Assist in monitoring and maintaining departmental budgets, processing financial transactions, and verifying invoices and requisitions. Serve as first point of contact for internal and external visitors. Process Viking One Identification cards and maintain records for students, faculty, and staff. Knowledge, Skills, and Abilities Program Knowledge: Knowledge of policies, procedures, and precedents affecting the program; ability to analyze and explain how policies apply to programmatic and client needs; operational knowledge of the program’s organization and effectiveness; identify needs and provide appropriate assistance. Program Administration: Ability to administer an aspect of a program or functional area; make recommendations for program expectations; identify recurring issues; track and monitor program outcomes; collect, research, and analyze data for processing; develop internal processes; generate reports; reconcile and manage accounting records; prepare financial statements and reports. Customer Service: Ability to explain the application of policies and procedures; identify options and make recommendations; develop and maintain productive and collaborative work relationships; deliver program services; negotiate and resolve conflicts. Communication: Ability to explain procedures and policies with client references; convey information with guidelines, systems, vendor materials; compose communication to describe work, resolve issues; draft internal policy and work processes; create presentations using media. Information/Records Administration: Ability to access, review, compile, and store data; gather information via interviews and surveys; research and present data; clarify rationale for record management policy; train clients in software and databases. Leadership: Ability to lead or supervise lower level staff; mentor and assist others; train individuals and groups. Minimum Training and Experience Bachelor’s degree or equivalent combination of training and experience. All degrees must be from appropriately accredited institutions. Preferred Experience Quick learner demonstrating adaptability with emerging technologies and proficiency in Microsoft Excel and Word. Proven customer service background communicating with a diverse population. Experience managing or supporting ID card, credentialing, or access control systems (e.g., Transact). Working knowledge of financial processes including reconciliation, budget tracking, and reporting. Experience with cash handling and point‑of‑sale systems.
