Key Responsibilities Answer questions from students, faculty, staff, and the public regarding admissions and records policies and procedures. Distribute applications for college admission, review them for completeness and accuracy, and issue appointments to register. Code applications, input data into the student records information system, and post grades and grade changes to cumulative records. Process a variety of forms related to admissions and records, including graduation petitions, class drops/adds, exclusion rosters, positive attendance forms, reinstatement forms, section and level change forms, and directory cards. Check cumulative records for repetition of classes and other necessary adjustments. Process transcript requests, collect and submit payments to the Bursar’s Office, and handle verification of student enrollment, status, and records. Prepare correspondence to students regarding admission and records matters. Assist in the coordination of off‑campus admission and registration events. Resolve problems related to registration, enrollment, and records, and explain proper roster usage to instructors. Generate lists of instructors and students with missing grades and assist in resolving these issues. Process and mail outbound transcripts and maintain related fee records. Assist students, instructors, and visitors with procedures for enrollment, registration, resident regulations, and scholarship and graduation requirements. Train, assign, and review the work of temporary registration personnel and student workers. Perform various administrative and clerical duties such as filing, answering phones, data entry, record‑keeping, and inter‑office mail distribution. Travel to the college campus to collect rosters (attendance, positive attendance, grades, etc.) and perform other duties as assigned. Required Qualifications Knowledge of student admissions and records rules, processes, and procedures of a college. Knowledge of records management principles, data processing, and inventory procedures. Knowledge of legislation affecting student and business records, including California Code, Education Code, and related laws. Proficiency in record‑keeping principles and procedures. Skills in modern office practices, word processing, database, and spreadsheet applications. Excellent written and verbal English usage, spelling, and grammar. Strong customer‑service skills and the ability to interact with a diverse student population. Ability to analyze and interpret laws, regulations, and established administrative procedures and make decisions accordingly. Skill in learning, applying, and explaining admissions and records rules and procedures. Proficiency in operating modern office equipment, including computers, copiers, printers, and software programs. Strong organizational skills, the ability to set priorities, and meet critical deadlines. Sound independent decision‑making within established policy and procedural guidelines. Effective communication in person, over the telephone, and in writing. Use of tact, initiative, prudence, and independent judgment. Ability to establish and maintain positive, harmonious working relationships. Education and Experience Any combination of training and experience that provides the required knowledge, skills, and abilities is qualifying. Typical qualifications include completion of twelfth grade and three (3) years of clerical experience, including one (1) year of performing duties in the maintenance of student records.
