Administrative Patient Services Representative

This position involves welcoming patients, managing registrations, scheduling appointments, verifying insurance, and providing clear, compassionate support throughout their healthcare journey.

Essential Duties and Responsibilities

• Create a warm and efficient environment for patients, addressing their needs and guiding them through initial healthcare processes.
• Collect and accurately enter demographic and insurance information into the system, updating records as needed.
• Obtain necessary consents and forms from patients.
• Verify insurance coverage through direct contact with providers or electronic systems, ensuring correct account information.
• Secure pre-authorizations or referrals when required.
• Explain insurance benefits and financial responsibilities clearly to patients.
• Deliver exceptional customer service by promptly answering calls, addressing concerns, and providing information.
• Maintain strict adherence to HIPAA regulations to protect patient confidentiality.
• Collect co-pays, deductibles, and other payments in line with organizational policies.
• Support compliance with regulatory requirements and maintain efficient claims processing workflows.
• Assist patients in navigating online patient portals.
• Adapt to shifting work assignments and priorities as needed.

Education

High School Diploma or GED is required.

Experience

Preferred experience includes at least six months in office, call center, customer service, or healthcare settings. Familiarity with computers and standard office equipment is necessary, with data entry proficiency preferred. Completion of an accredited medical receptionist program or two years in a healthcare environment is advantageous.

Certification/License

American Heart Association Basic Life Support (BLS) certification is required.

Mental/Physical Requirements

Ability to focus with attention to detail under time constraints, manage variable and repetitive tasks, and handle frequent computer use with interruptions. Physical ability to stand, walk, sit, reach, assist and transport patients in wheelchairs, and lift up to 10 pounds is necessary.

Working Conditions

Standard office environment with occasional exposure to noise, fumes, chemicals, hazards, or diseases. Flexibility to work various shifts is required.
