The Training Assistant is responsible for collectively working with the Training Specialist and Training Director on the coordination and execution of the C.O.P.S. Traumas of Law Enforcement Trainings, C.O.P.S. National Conference on Law Enforcement Wellness and Trauma, and any additional trainings the department is preparing.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Process registrations for trainings/conferences in database, ensure accurate records and pull reports.
- Update training/conference packet materials and print.
- Assemble training/conference packets for each location.
- Prepare and pack supplies for each training/conference.
- Travel to trainings/conferences and assist with the details as planned.
- Answer phone calls and questions about C.O.P.S. trainings.
- Make phone calls to agencies and chapters to drive interests for trainings.
- Update information in database after training/conference has concluded.
- Organize and put away supplies after each training/conference has concluded.
- Collect, organize and maintain files and documents, both paper and electronic.
- Communicate, verbal and written, with law enforcement, presenters, counselors, survivors and volunteers as needed.
- Public speaking at trainings/conferences to help keep the event moving and flowing as planned.
- Assist with the planning of trainings/conferences as needed.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
- Collectively work with the Training Specialist and Director to plan the details and logistics for the selected training locaitons (schedule dates, locations, facilities, meeting space, volunteers, etc.).
- Apply for and secure continuing education units for each training/conference location when applicable.
- Process registrations for trainings/conferences in database, ensure accurate records and pull reports.
- Provide confirmation details and continued correspondence to training/conference attendees.
- Create and develop training/conference logistics and communicate to presenters and volunteers.
- Create and update training/conference packet materials and assemble packets for each location.
- Update registration and check-in software for each training/conference.
- Compile feedback and suggestions each year to be reviewed and considered for the success of future trainings/conferences.
PERIPHERAL DUTIES:
- Occasional out of town travel to C.O.P.S. trainings/conferences and other functions as planned.
- Assist other Departments on large group projects when needed.
- Other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
None
EDUCATION, EXPERIENCE, CERTIFICATES AND LICENSES:
High school diploma required. Prefer a minimum of one (1) year of event planning and two (2) years of office experience. Proficiency in Microsoft Word, Excel, Google platform and Windows. Prefer a basic understanding of police departments and law enforcement officers and agencies.
SKILLS:
Multi-tasking: Detail-oriented professional that can efficiently prioritize and execute different tasks simultaneously.
Problem Solving and Reasoning Ability: Ability to resolve problems in a timely manner and deal with a variety of situations where organization is required. Develop alternative solutions. Deal with a variety of situations where only limited instruction is offered.
Language Skills: Persuasive writing and strong verbal communications. Ability to speak effectively in person and on the phone to convey appropriate C.O.P.S image to callers and visitors.
Customer Service Skills: Manage difficult or emotional situations. Respond promptly to inquiries and needs of others. Respond to requests for service and assistance. Meet commitments.
Mathematical Skills: Ability to add, subtract, multiply and divide using whole numbers, common fractions, and decimals.
Computer Literacy: General knowledge of computers and software is necessary, including word processing, spreadsheets, e-mail, and database.
Interpersonal Skills: Ability to interact at the executive level.
