Business Development Coordinator

We are a fast-growing tea beverage brand with an expanding retail and franchise presence across the U.S. Our mission is to bring high-quality, innovative, and culturally inspired tea experiences to our customers. As we continue to grow, we are looking for a Business Development Coordinator to keep our site selection, leasing, and franchise expansion projects on track. Position Overview This is an execution- and coordination-focused role, not a sales or deal-origination position. The Business Development Coordinator is the person who makes sure our expansion pipeline actually moves: tracking every open item, chasing pending responses, keeping project records and documents accurate and current, and maintaining clear, professional communication with brokers, landlords, property managers, and internal teams. You will not be asked to prospect, pitch, or negotiate deals. Instead, you will own the follow-up: knowing at any moment what each project is waiting on, who owes what, and what happens next. The ideal candidate is highly responsive, methodical, and detail-driven, with strong written communication and the judgment to know what needs internal confirmation before anything is committed externally. Key Responsibilities Project follow-up and pending item tracking Track the status, open items, and deadlines of every active site selection, leasing, and franchise expansion project; maintain a clear picture of what each project is waiting on and who is responsible. Proactively follow up on pending responses, missing documents, and unresolved next steps — without needing reminders — and elevate items at risk of stalling. Manage multiple concurrent projects and contact threads, advancing them by priority rather than working task by task. Run and maintain the BD pipeline tracker, project status reports, and to-do lists; keep updates timely and accurate so leadership always has a current view. Stakeholder communication Serve as a reliable day-to-day contact for brokers, landlords, property managers, and franchise-related parties; respond promptly and keep all threads moving. Draft clear, professional English emails and routine business correspondence; confirm details, request missing information, and document agreed next steps. Coordinate with internal teams (legal, operations, training, marketing, finance) to obtain reviews, approvals, and deliverables needed to keep projects on schedule. Prepare meeting notes and action-item summaries; circulate follow-ups and verify that agreed actions are completed. Document and information accuracy Maintain organized, complete, and version-controlled project files, including LOIs, lease-related materials, franchise documents, and correspondence records. Review incoming and outgoing materials for completeness — spot missing attachments, outdated versions, unanswered questions, and undefined next steps before they cause delays. Exercise sound judgment on what information requires internal confirmation before being shared externally; never commit to terms, timelines, or conditions outside of approved scope. General support Provide flexible support in line with BD team rhythms, including occasional after-hours meetings, urgent follow-ups, or weekend support as needed. Complete ad-hoc tasks and assignments delegated by the leadership team in a timely and high-quality manner. Qualifications Bachelor's degree required. 2–3 years of experience in coordination- or support-oriented roles such as sales coordination, business development support, client service, account coordination, project coordination, leasing/real estate support, or commercial property/mall support. Real estate or site-selection experience is a plus but not required. Demonstrated follow-through: a track record of closing loops, chasing pending items to resolution, and keeping projects moving without supervision or reminders. Proven ability to track and advance multiple projects and multiple points of contact simultaneously, with clear prioritization. Excellent written English; able to communicate clearly and professionally with brokers, landlords, and property managers. High attention to detail and strong sensitivity to information completeness, document versions, and record accuracy. Structured and process-minded; comfortable building and maintaining trackers, pipelines, checklists, and meeting documentation. Service-oriented with sound business judgment; understands what needs verification and what should not be promised. Comfortable with the pace of a business development function, including occasional after-hours or weekend availability. Proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint); experience with project trackers or CRM tools is a plus. What We Offer Competitive salary and performance-based bonuses.
