Executive Administrative Aide to the CIO

About The Position This highly responsible administrative and executive support role provides complex, confidential, and sensitive assistance to the Chief Information Officer (CIO) within the Office of Information Technology (OIT). The incumbent serves as the principal administrative support employee for the CIO and performs independent judgment, discretion, and tact. Responsibilities include coordinating executive communications, managing calendars and schedules, preparing correspondence and briefing materials, coordinating meetings and special projects, monitoring assignments and action items, and serving as liaison between the CIO, executive leadership, County agencies, vendors, elected officials, and external stakeholders. Responsibilities Provide direct executive administrative support to the CIO and Associate Directors within OIT. Serve as primary contact for inquiries directed to the CIO and OIT executive leadership. Independently manage calendars, schedule meetings, and coordinate competing demands across multiple executives. Promote consistency in executive administrative processes across OIT, including standardized documentation and workflows. Prepare, review, and ensure documents are accurate, professionally formatted, and delivered within deadlines (memoranda, briefing documents, reports, presentations, governance documents, official communications). Coordinate agenda for executive-sponsored meetings, leadership briefings, and cross-functional working groups. Supervise administrative support staff to achieve office management goals. Provide coaching, mentoring, and professional development opportunities for staff. Complete performance evaluations accurately and on time, providing constructive feedback. Screen and route communications, respond to routine queries, and elevate issues requiring executive attention. Handle sensitive and confidential information related to audits, policy development and other matters per County policies. Perform other related duties assigned in support of OIT executive leadership and strategic objectives. Minimum Qualifications Associate’s degree in Business Administration or Secretarial Science. Three (3) years of senior-level secretarial/administrative experience involving public interaction, office management, operational details, and staff supervision, or at least one (1) year of experience at the Administrative Aide IV level. An equivalent combination of relevant education and experience may be considered. Preferred Qualifications Three (3) or more years of progressively responsible executive-level administrative support experience, preferably supporting senior executives in technology, government, or large organizations. Experience coordinating executive calendars, scheduling complex meetings, managing travel, and organizing high-level events involving multiple stakeholders. Demonstrated experience preparing executive correspondence, reports, presentations, briefing materials, agendas, and meeting minutes with high accuracy. Experience handling confidential, sensitive, and personnel-related information with discretion. Knowledge of information technology concepts and organizational structures to effectively support technology leadership. Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint). Conditions of Employment Pass an administered Administrative Aide exam; prior permission waived if exam passed on or after 8/1/2024. Maintain a valid ClassC driver’s license. Meet all training and performance standards and demonstrate agency proficiency. Wear and use protective apparel and equipment as required. Pass pre‑employment checks including reference checks, background investigations, and drug screening. Be willing to serve as an essential employee with possible extended hours during emergencies.
