Facilities Manager

About the Role:


The Facilities Manager is responsible for overseeing the maintenance, safety, functionality, and regulatory compliance of multiple healthcare clinic locations while leading a team of mobile and in-house maintenance technicians. This role ensures facilities support high-quality patient care by maintaining safe, efficient, and compliant healthcare environments. The Facilities Manager develops maintenance programs, manages vendor relationships, oversees financial and budget activities, responds to facility emergencies, and directs mobile technicians to support daily operations across multiple sites.
What You'll Do:

Facility Operations & Maintenance

• Manage the day-to-day operations and maintenance of multiple healthcare clinic facilities.
• Develop and implement preventive maintenance programs for building systems, equipment, and infrastructure.
• Ensure proper operation of HVAC, electrical, plumbing, security, fire protection, and life safety systems.
• Coordinate repair activities to minimize disruptions to patient care and clinic operations.
• Conduct routine facility inspections and address identified deficiencies.

Mobile and Technical Team Management

• Supervise, coach, and evaluate a team of mobile maintenance technicians.
• Schedule and dispatch mobile technicians, prioritizing work orders based on operational needs, patient impact, and service level expectations.
• Monitor technician productivity, service quality, and response times.
• Provide technical guidance and support for complex maintenance issues.
• Ensure technicians follow safety procedures, regulatory requirements, and organizational standards.

Regulatory Compliance & Safety

• Ensure compliance with healthcare regulations, OSHA requirements, safety standards, and local building codes.
• Support accreditation surveys, inspections, and audit readiness efforts.
• Maintain records related to facility maintenance, inspections, permits, and compliance activities.
• Investigate safety incidents and implement corrective actions.
• Lead emergency preparedness, business continuity, and disaster recovery planning for facilities.

Vendor & Contract Management

• Manage relationships with contractors, service providers, and equipment vendors.
• Negotiate service agreements and monitor vendor performance against established service standards.
• Oversee outsourced maintenance services and capital improvement projects.
• Ensure contractor compliance with healthcare safety, security, and regulatory requirements.

Real Estate, Lease & Landlord Management

• Serve as the primary facilities contact for landlords, property managers, and building management teams for leased clinic locations.
• Review facility-related lease provisions and ensure compliance with tenant obligations, including maintenance responsibilities, operating expense requirements, and repair obligations.
• Coordinate landlord-funded repairs, building system maintenance, and tenant improvement projects.
• Track lease-related requirements, critical dates, renewals, notices, and facility obligations in partnership with Real Estate and Legal teams.
• Provide facilities expertise to support lease negotiations, site planning, and occupancy decisions.
• Review common area maintenance (CAM) charges, operating expense reconciliations, and landlord billings for accuracy.
• Escalate and resolve facility issues with landlords and property management companies to minimize operational disruptions.
• Collaborate with clinic leadership, Real Estate, Construction, and Finance teams on new site acquisitions, relocations, expansions, and lease renewals.

Financial Administration, Budget & Project Management

• Review, approve, and process vendor invoices for maintenance, repairs, utilities, and contracted services.
  
• Ensure timely invoice coding, submission, and payment in accordance with organizational financial policies.
  
• Monitor purchase orders, work order costs, and service contract expenditures.
  
• Track facility expenditures and reconcile monthly expenses against approved budgets.
  
• Develop operating and maintenance budgets, forecasts, and capital expenditure requests.
  
• Analyze facility operating costs and spending trends to identify cost-saving opportunities and operational efficiencies.
  
• Coordinate with Accounts Payable, Procurement, and Finance teams to ensure accurate financial reporting and budget management.
  
• Maintain records of contracts, warranties, invoices, and facility-related financial documentation.
  
• Evaluate vendor proposals and perform cost-benefit analyses for repairs, maintenance programs, and capital projects.
  
• Ensure adherence to internal controls, purchasing policies, and audit requirements.
  
• Lead facility renovations, equipment installations, and capital improvement projects.
  
• Prepare project plans, timelines, budgets, and status reports for leadership.
  

Customer Service & Stakeholder Support

• Partner with clinic leadership to address facility-related concerns and operational needs.
  
• Ensure timely resolution of maintenance requests and service issues.
  
• Communicate project updates, facility issues, and operational impacts to stakeholders.
  
• Ensure facility operations and maintenance activities support a safe, reliable, and positive patient experience.
  

What You'll Need:

• Bachelor's degree in Facilities Management, Engineering, Construction Management, Business Administration, or a related field preferred.
• Equivalent combination of education and relevant experience may be considered.
• 5+ years of facilities management experience, preferably within healthcare environments.
• 2+ years of supervisory experience leading maintenance staff or mobile technicians.
• Experience managing multiple locations and coordinating field-based teams.
• Knowledge of healthcare facility operations, safety regulations, accreditation requirements, and compliance standards.
• Experience managing budgets, vendor contracts, invoice processing, and capital projects.
• Strong leadership and team management skills.
• Knowledge of building systems, preventive maintenance programs, and healthcare facilities.
• Excellent organizational, financial, and project management abilities.
• Experience with budgeting, financial analysis, procurement processes, and vendor management.
• Proficiency with CMMS (Computerized Maintenance Management Systems), Microsoft Office applications, and financial management systems.
• Strong communication, decision-making, and problem-solving skills.
• Ability to respond to emergencies outside normal business hours when required.
• Ability to travel frequently between clinic locations.
• Ability to inspect facility spaces, including mechanical rooms, rooftops, and construction areas.
• Occasional lifting of up to 50 pounds.
• Ability to work in a healthcare environment and respond to facility emergencies as needed.
