Property Manager

Location: Phoenix, AZ

Salary: $55,000 - $56,650 annually

Work Arrangement: Hybrid

Schedule: Monday - Friday, 8:00 AM - 5:00 PM (After-hours availability required for emergencies)

Pay Schedule: Semi-Monthly

Position Summary

Seeking a highly organized and proactive Property Manager to oversee the daily operations of a medical office portfolio consisting of 26 buildings totaling approximately 756,265 rentable square feet and serving approximately 149 tenants. This hybrid role requires weekly travel to assigned properties and offers the opportunity to work closely with the Senior Property Manager to deliver exceptional property management services while maintaining strong tenant and vendor relationships.

The ideal candidate is detail-oriented, customer-focused, and thrives in a fast-paced environment. Experience using IMPAK or similar property management software is highly preferred.

Essential Responsibilities

Property Operations
  • Manage the day-to-day operations of an assigned portfolio of commercial medical office properties.
  • Serve as the primary point of contact for tenants and respond promptly to service requests and operational concerns.
  • Maintain regular communication with the Senior Property Manager regarding property performance, ongoing projects, and operational issues.
  • Conduct routine property inspections to ensure buildings are clean, safe, and well maintained.
  • Monitor preventative maintenance programs and ensure all scheduled services are completed.
IMPAK System Administration
  • Utilize IMPAK as the primary property management platform for daily operations.
  • Enter, monitor, and close work orders in a timely manner.
  • Maintain accurate tenant records and property information.
  • Send tenant communications, notices, and updates through IMPAK.
  • Ensure all work orders are actively managed and followed through to completion.
Vendor Management
  • Coordinate vendors for maintenance, repairs, and property services.
  • Monitor vendor performance and ensure quality workmanship and timely completion of work.
  • Maintain current vendor documentation, including Certificates of Insurance (COIs), W-9s, and service agreements.
  • Proactively identify maintenance needs and initiate service requests as necessary.
Tenant Relations
  • Build and maintain positive relationships with tenants by providing responsive customer service.
  • Coordinate tenant move-ins, move-outs, and related documentation.
  • Ensure tenant compliance with lease provisions and property policies.
  • Communicate effectively regarding property updates, maintenance activities, and scheduled work.
Documentation & Administrative Responsibilities
  • Maintain organized electronic files using Dropbox, ensuring property, tenant, and vendor records remain accurate and current.
  • Utilize Microsoft 365 applications, including Outlook, Word, and Excel, for daily communication and reporting.
  • Ensure consistency and accuracy between IMPAK records and supporting documentation.
Qualifications
  • Active Arizona Real Estate License required.
  • Previous commercial property management experience preferred, ideally within medical office or commercial real estate portfolios.
  • Experience using IMPAK or similar commercial property management software preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to effectively manage multiple priorities, vendors, and work orders simultaneously.
  • Excellent verbal and written communication skills.
  • Self-motivated with a proactive approach to identifying and resolving issues.
  • Proficient in Microsoft Office 365 applications.
Travel Requirements
  • Weekly travel to assigned properties is required.
  • Mileage reimbursement is provided.
