Staffing Operational Specialist

We’re seeking a Recruiting & Sales Operations Specialist to help our recruiting and sales teams work more efficiently, generate more placements, strengthen client relationships, and drive business growth. This is not a traditional administrative role . You’ll serve as a force multiplier—keeping candidates, clients, job orders, prospects, and follow-up activities moving forward. What You’ll Do Support recruiters throughout the hiring process, from intake through placement Assist with candidate sourcing, research, outreach, interviews, and follow-up Track candidates, interviews, offers, starts, and open job orders Coordinate communication between recruiters, candidates, and clients Support resume preparation and candidate marketing Follow up on feedback, references, documentation, and start dates Support client and prospect follow-up, research, meetings, proposals, and business development Track leads, referrals, opportunities, and next steps Operations & Process Improvement Maintain accurate ATS and CRM data Keep recruiting and sales pipelines active and moving Identify bottlenecks, missed follow-ups, and opportunities for improvement Maintain reports, dashboards, and production metrics Improve workflows and take ownership of recurring processes Help recruiters and sales professionals stay focused on revenue-producing activities Communication & Relationship Management Provide professional, responsive communication with candidates, clients, and internal teams Coordinate routine correspondence and follow-up Ensure commitments are completed accurately and on time Escalate issues appropriately when additional support is needed What Success Looks Like Success in this role is measured by business impact , not simply task completion. You will: Keep recruiters and sales professionals focused on production Ensure timely candidate and client follow-up Move open orders and recruiting processes forward Maintain accurate CRM and ATS information Support and track business development opportunities Proactively identify and solve problems What We’re Looking For Required: 2–5+ years of experience in staffing, recruiting, sales support, operations, customer service, or professional services Strong communication, organization, and follow-through Ability to manage multiple priorities in a fast-paced environment Strong attention to detail and research skills Experience with CRM, ATS, Microsoft Office, and other business systems Professionalism, discretion, and confidentiality Preferred: Staffing or recruiting experience Recruiting coordination or sales operations experience Experience supporting production-focused teams Proven ability to anticipate needs and work proactively The Ideal Candidate You’re someone who sees an open order sitting idle and immediately asks, “What needs to happen next?” You take initiative, solve problems, follow through, and keep people and processes moving.
