Position Summary Jonathan Charles is seeking an organized, detail-oriented Senior Accounting Specialist to coordinate daily accounting activities for its U.S. operations. This is a hands-on role focused on accurate transaction processing, payment tracking, reconciliations, recordkeeping, and communication with internal teams and customers. The position serves as the primary U.S. contact for routine accounting matters and works collaboratively with the parent company’s finance team, which provides broader accounting oversight and leads financial close, financial statement preparation, and accounting policy decisions. The specialist will provide records and supporting schedules as needed, rather than independently managing the full accounting function. Key Responsibilities Accounts Receivable & Customer Payments Prepare and coordinate customer invoices, credits, and payment-related documentation. Record and apply customer payments; research discrepancies, unapplied cash, and customer deductions. Monitor accounts receivable aging and follow up on outstanding balances in coordination with Customer Service and Sales. Maintain accurate customer account records and elevate unusual issues or potential collection concerns. Accounts Payable & Vendor Coordination Receive, review, code, and enter vendor invoices; confirm required approvals and supporting documentation. Maintain vendor records, payment schedules, and outstanding invoice lists. Prepare payment requests for approval and coordinate approved payments with the appropriate finance contacts. Reconcile vendor statements and follow up on missing invoices or discrepancies. Daily Accounting & NetSuite Support Enter, review, and maintain accurate U.S. accounting transactions in NetSuite. Reconcile routine bank, credit card, customer, and vendor activity as assigned; investigate differences. Maintain organized supporting records and provide transaction details or schedules requested by the parent company finance team. Assist with month-end information requests and reconciliations without responsibility for leading the financial close or preparing financial statements. Payroll Coordination Coordinate U.S. payroll information and processing with ADP TotalSource and designated internal contacts. Review payroll inputs such as commissions, bonuses, and adjustments for completeness and appropriate approval. Assist with payroll questions, supporting documentation, and payroll-related reconciliations as requested. Inventory, Orders & Operational Support Work with Operations, Customer Service, and the third-party warehouse to research invoice, shipment, credit, and inventory transaction discrepancies. Help ensure that freight, discounts, customer deposits, returns, and other order-related adjustments are accurately documented and recorded. Provide transaction-level information to the international finance team for inventory and cost reconciliations; inventory valuation and cost-of-goods-sold accounting remain with finance leadership. Team Collaboration & Process Improvement Serve as a responsive contact for routine U.S. accounting questions and coordinate issues with the parent company finance team. Maintain practical procedures and checklists to support consistent transaction processing and controls. Support improvements to NetSuite workflows and U.S. accounting processes as the business continues its systems and operational transition. Participate in occasional meetings outside standard U.S. business hours to coordinate with overseas colleagues, with reasonable advance planning where possible. QualificationsRequired 3–5+ years of hands-on accounting, bookkeeping, or accounting operations experience, or an equivalent combination of education and experience. Practical experience with accounts receivable, accounts payable, reconciliations, and financial recordkeeping. Comfort working in an ERP/accounting system and strong proficiency with Microsoft Excel. Strong attention to detail, follow-through, confidentiality, and ability to manage multiple daily priorities. Clear communication skills and comfort collaborating with U.S. and international colleagues. Preferred Experience using Oracle NetSuite. Experience in furniture, wholesale distribution, manufacturing, or inventory-based businesses. Experience coordinating with a shared-services or international finance team. Familiarity with ADP TotalSource or similar payroll services. What Success Looks Like Customer payments, vendor invoices, and routine accounting transactions are processed accurately and on time. Open items and discrepancies are identified, documented, and resolved or escalated promptly. U.S. leadership and the parent company finance team receive dependable supporting information.
