Customer Support & Administrative Assistant

We are looking for a **Customer Support & Administrative Assistant** to handle day-to-day customer communication while supporting internal operations and administrative tasks. The ideal candidate is organized, detail-oriented, comfortable with technology, and willing to learn new tools and processes.

● Handle customer requests and support tickets through **email, live chat, and phone**, providing timely and professional responses and following up on open issues.

● Review each client request for completeness and accuracy before work begins: confirm we have everything needed (access, files, content, scope details), follow up with the client for anything missing, then create the task in **ClickUp** with the correct due date, priority and details according to our task standards.

● Meet with clients over video conference to assist with their queries as needed.

● Work daily in **Freshdesk** (support tickets), **ClickUp** (task management) and **Slack** (internal team communication). Expect most of your day to be spent across these three platforms: responding to and updating tickets, creating and maintaining tasks, and coordinating with the team.

● Coordinate with internal teams to ensure client requests and tasks are completed on time, provide customers with regular updates, and escalate issues when necessary.

● Assist with day-to-day administrative and operational tasks, including **task creation, tracking deadlines, maintaining records, updating spreadsheets, and organizing documentation**.

● Provide basic technical support related to **domains, DNS, custom email, websites, and common account-related issues**, following established procedures and escalating more complex problems.

● Assist with basic **website/content publishing, content editing, SEO-related tasks, and other digital operations** as needed.

● Maintain and update **SOPs, internal documentation, and support procedures** when processes change or improvements are identified.

● Take ownership of assigned tasks, identify potential issues or delays proactively, and support other administrative or operational needs as required.

● **1+ year of experience** in customer service, customer support, client support, or a similar role.

● Experience handling customers through **email, chat, and/or phone**.

● Experience with **Freshdesk** or a similar help desk (Zendesk, Freshchat, Intercom), a task-management tool such as **ClickUp**, and **Slack**. Hands-on experience with all three is a strong plus.

● Strong written and verbal communication skills.

● Good organizational skills with the ability to manage multiple tasks, priorities, and deadlines.

● Basic understanding of **domains, DNS, custom email, websites, and other common technical concepts**, or the ability and willingness to learn them.

● Comfortable using **Google Workspace, spreadsheets, scheduling tools, task-management tools, and other business software**.

● Willingness to learn **SEO, basic content editing, website publishing, and new software or workflows**.

● Strong attention to detail, problem-solving ability, and a proactive approach to work.

● Ability to spot gaps or inconsistencies in a request and ask the right follow-up questions before work starts.

● Ability to work independently while collaborating effectively with different teams.

● Previous experience in a **SaaS, digital agency, website management, technology, or service-based business** is a plus.

● Willingness to work 8 AM to 4 PM CST (GMT-6), Monday to Friday.
