Client Services Director

The Role

The Client Services Director is the operational backbone of the firm — the person who keeps good relations with clients and vendors, ensures every administrative function is covered, and makes sure nothing falls through the cracks across our multiple entities.

You will own a wide range of responsibilities spanning executive support, communications, client administration, compliance tracking, and portfolio administration. This is not a passive support role. The right person is proactive, detail-oriented, and capable of managing many moving parts at once without losing track of any of them.

What You'll Do

Firm Operations & Communications

• Maintain firm routing documents and ensure inquiries — clients, prospects, vendors, advisors — are directed promptly and accurately
• Support hiring workflows: post positions, screen applicants, coordinate interviews, and collect onboarding paperwork
• Track advisor licensing renewals, continuing education requirements, and compliance documentation
• Maintain communication systems, workflow platforms, and document storage so everything is easy to find and safely stored
• Compile weekly departmental stats and prepare reports for executive review; flag issues that need attention

Client Administration

• Prepare and send engagement letters to new and returning CPA clients
• Coordinate client data gathering — collect organizers, source documents, and prior-year returns
• Answer client status inquiries, route questions to the appropriate team member, and follow up on outstanding items
• Maintain the CPA client pipeline so no deliverable or request is missed

Portfolio & Insurance Administration

• Administer brokerage account workflows: new accounts, transfers, updates, and maintenance requests
• Ensure all investment account workflows are current, compliant, and properly documented
• Track insurance and annuity applications from submission through approval; flag stalled cases
• Coordinate annual policy review scheduling and client communications

What We're Looking For

• 5+ years in an administrative, operations, or executive assistant role — financial services or professional services experience preferred
• Bachelors Degree in Business, Accounting, Finance preferred
• Exceptional organizational skills and the ability to manage multiple administrative tracks across different business entities simultaneously
• Strong written and verbal communication skills; professional and discreet at all times
• Proficiency with CRMs, document management systems, and workflow platforms (Salesforce, Redtail, or similar a plus)
• This role handles sensitive client and financial data — integrity and confidentiality are non-negotiable
