Staffing Specialist

SUMMARY: Reporting to the Manager of Nursing Resource Management, manages all aspects of staffing, scheduling, and payroll for all levels of staff in the nursing department. Arranges adequate coverage for each shift and proactively for future shifts. Enters employee information and work schedules and changes into computerized resource management system interfacing to payroll time and attendance system. Reconciles scheduled hours to worked and non‑worked hours utilizing the computerized time and attendance system, to assure accuracy. Performs a variety of complex clerical functions, which requires the use of judgement and knowledge of the department’s systems and operations. Responsibilities Review nursing department staffing to ensure all work shifts are filled/covered following established criteria. Arrange coverage to the extent possible utilizing existing and potential resources, ensuring cost‑effective solutions and appropriate staffing ratios are maintained. Utilize the computerized scheduling system and manual reports to track, schedule and record staff assignments and attendance activities. Update employee information (e.g., address, hours, skill, certifications) and verify changes. Generate a variety of management reports in the computerized resource management system. Assign extra shifts based on guidelines in the computerized scheduling system. Collaborate closely with stakeholders to assist with managing payroll activities. Communicate with various nurse leaders to determine whether additional staffing is required and to communicate issues needing intervention. Confer with nursing managers concerning per‑diem and/or float qualification requirements. Ensure the department’s scope of services strives to meet the needs and expectations of internal and external customers. Demonstrate flexibility and innovation to facilitate changes required to improve operations, revenue, effectiveness, productivity, responsiveness and other key indicators. Respond to and provide direction on changing workload during crisis and emergency situations. Monitor staffing to ensure optimal use of scheduled time and overtime for maximum productivity. Assist with cost containment by encouraging use of benefit time during periods of low census or low workload. Ensure the security and confidential treatment of sensitive and private information. Reconcile revenue charges for the nursing department and provide follow‑up with nursing leadership. Control timely and appropriate flow of information throughout the department and the organization; keep stakeholders informed. Minimum Qualifications Basic Knowledge: High school diploma or General Equivalency Diploma; knowledge of nursing department policies and guidelines. Ability to handle stressful situations and multiple demands in an effective manner. Excellent communication and customer service skills. Multi‑task effectively to perform a variety of complex clerical duties. Organizational skills to maintain departmental files, records, and statistical data. Familiarity with personal computer and mainframe‑based system applications; proficient typing and keyboard skills. Interpersonal skills to interact effectively with a variety of hospital personnel. Organizational and analytical ability to arrange schedules considering multiple criteria and priorities. Two to three years of job‑related experience preferred; familiarity with departmental operations and associated regulations. Work Environment and Physical Requirements Fast‑paced office environment with urgent conditions associated with addressing nursing department staffing schedule changes. Must be able to perform frequent fine motor skills. Independent Action Follows established policies and procedures under general supervision. Refers specific complex problems to the supervisor when clarification of departmental policies and procedures is required. Supervisory Responsibility None.
