Project Manager

We work on large and small scale projects, ranging from scanning and printing a single 4”x6” photo, to printing and installing corporate re-brands, new museum exhibits, building wraps, and more. Role Description: We are seeking a full time Project Manager. This position is in the customer service department, and will involve working on a mix of consumer level and large scale projects. Consumer projects will be varied, but you’ll see a lot of digital photos being printed and mounted or framed, older family photos that need restoration, and traditional artwork scanning & reproduction. Our clients rely on us to advise on practical and aesthetic choices for paper types, mounting options, framing, etc., so the expectation is that you will learn the ins and outs of the processes we offer in order to provide assistance and deliver the best product for each client’s circumstances. You will also work on large scale projects from the estimating stage through proofing, production, and installation and/or delivery. Estimating is typically a collaborative process, and will involve working with our production and installation teams to determine the best way to produce and install a wide variety of graphics. Proofing and production will involve planning meetings, coordination between our internal teams and external vendors, and communication with the client. You’ll also coordinate site visits and installation dates, balancing client deadlines with our production schedule and installation availability. Qualifications Project management and/or estimating experience is required, and knowledge of printing, photography, and graphics services is preferred. This position does not require weekend work, but some overtime is expected if needed to complete tasks. Experience in project management - we are looking for someone who can juggle many projects at once with multiple deadlines and moving pieces. Great communication skills. All orders are custom made to each client’s needs. Being able to understand, communicate, and assist in making decisions is a must. Strong computer skills, and be willing to learn new programs. While this job doesn’t specifically require Adobe Creative Cloud knowledge, it is a plus. Must be highly organized and have prioritization, problem-solving and troubleshooting skills. Applicants should be detail oriented, responsible & punctual. Most orders have tight deadlines and lots of moving parts. Being able to keep projects organized and also make sure orders are done before the deadline is a must. Nice to have: Knowledge of wide format printing - materials, processes, etc. Experience with photography, or any related skills based on our company - please elaborate on your resume or cover letter.

RESPONSIBILITIES:

Customer Service/Project Management Field and prioritize requests via email and phone call. Prepare quotes, follow up, and after approval, move the order through multiple production departments. Keep records of order details in the job tracking system and file paper copies where needed. Coordinate production timelines between internal team and external vendors, including balancing proofing phases, timelines, client expectations, and production capabilities Organize planning/production meetings with production team to ensure timelines are realistic and the whole team has a solid understanding of the scope Maintain an understanding of the benefits and limitations of our offerings for scanning, photo printing, wide format printing, mounting, framing, installation, etc. Ship and receive packages/deliveries – FedEx, USPS, UPS, and local courier Invoice orders and collect payments. Answer phones and direct calls. Assess architectural drawings, design intents, and written requests for graphics production and installation Collaborate with production team to provide accurate estimates that are competitive while covering costs and potential unknown factors Brainstorm solutions to tricky requests - be able to communicate concerns diplomatically and offer alternate solutions wherever possible. Be able to fill in the blanks: many requests are not fully fleshed out, and missing details that affect pricing will need to be considered. This may involve making assumptions based on past orders or experience, or clarifying with the client.
