Office Associate II – Behavioral Health Program Department of Health and Human Services (DHHS) Location: Augusta Opening Date: January 8, 2026 Closing Date: January 22, 2026 Salary: $17.73 - $25.53 per hour* (inclusive of a 2.50% recruitment and retention stipend) *This inclusive stipend is part of the hourly compensation. Core Responsibilities You will provide administrative support to the Behavioral Health Program of the Division of Licensing and Certification. Your duties include: processing license applications, maintaining records and documentation, and updating the federally mandated database; responding to inquiries from providers and supporting division staff for all licensing surveys and complaint investigations; collaborating with the Office Associate II Supervisor to cover licensing and certification activities during staff leave; assisting Behavioral Health providers with licensing application questions and processes; prioritizing tasks and completing work accurately and on time; preparing routine correspondence, forms, notices, and letters related to licensing activities; maintaining confidentiality and handling sensitive information; assisting with other administrative duties (mail processing and distribution, copying, scanning, gathering data for licensing reports). In This Role You Will Serve as the primary administrative support for surveyors, supervisors, and the program manager associated with the Behavioral Health Program; Complete data entry and data management involving multiple databases; Review applications for accuracy and follow up with providers when appropriate; Assist providers with questions related to the licensing application and processes; Prioritize tasks and complete work accurately and on time; Prepare routine correspondence, forms, notices, and letters related to licensing activities; Ensure licensing documents are accurate and up to date; Maintain confidentiality and handle sensitive information; Collaborate with the Office Associate II Supervisor to ensure licensing and certification activities are covered during staff leave; Assist with other administrative duties as requested. Minimum Qualifications Training, education, or experience in office and administrative support work that demonstrates: (1) competency in applying solid knowledge of modern office practices to perform complex, varied office support tasks, and (2) the ability to use independent decision‑making on appropriate processes, information, and actions in accordance with standard procedures. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, and Office Associate I. Preferred Skills and Qualifications Experience working in a regulatory, licensing, or government office environment; Strong organizational skills, attention to detail, and accuracy; Effective written and verbal communication skills; Ability to work effectively within a team and contribute to a respectful and productive workplace; Quick adjustment to new processes and program changes; Professional, courteous customer service to licensees and the public; Ability to consistently follow detailed instructions, policies, and procedures; Ability to manage workload and complete tasks with minimal supervision; Proficiency with Microsoft Word, Outlook, and Excel.
