Front Desk Coordinator

Whitley Penn

Whitley Penn, one of the nation’s leading audit, tax, and advisory firms, is looking for a FrontDesk Coordinator to join our team in Austin. The FrontDesk Coordinator performs general and administrative tasks to ensure the successful daily operations of the office. The expected hours for the position are 8:00am–5:00pm with additional hours as required, Monday to Friday. Position Details Title: FrontDesk Coordinator Classification: Full-time; non-exempt Department: Administration Location: Austin (Westlake) Office Expectations/Hours: Fully in-office position; Monday–Friday, 8 hours/day between 8:00am to 5:00pm with overtime, as needed. What You Will Do Greet clients and guests professionally and cheerfully Manage and direct incoming calls Maintain conference room neatness and general office organization Monitor conference room schedule and assist with scheduling and room preparation, as needed Coordinate outgoing FedEx and courier packages Inter‑office mail preparation and documentation management Assist with incoming/outgoing mail Notify the office manager when mailroom & front office supplies are needed Set‑up/clean‑up lunch for working lunch meetings Miscellaneous copying and faxing Assist the office manager in planning office events and co‑lead our fun committee Assist with special projects and other various duties, as assigned What You Need To Get Here Minimum 2 years of experience with front office/administration Proficiency with Microsoft Office – Word and Excel; PowerPoint is a plus Must be organized with strong attention to detail Ability to multitask Professional appearance and demeanor with a positive attitude Must be punctual, prompt, dependable and reliable Outstanding work ethic Why Whitley Penn Firm‑Paid Medical Insurance (Free Employee Only Coverage on 2 of 3 plans) Voluntary Dental and Vision Insurance 17 Annual Firm holidays, with extended breaks around July4th and year end 15 Days PTO Paid Maternity and Parental Leave 401(k) with Profit Sharing Discretionary Bonus Program Health & Wellness Program Pet Insurance Equal Opportunity Employment Whitley Penn is proud to be an equal opportunity workplace.
