Facility and Maintenance Coordinator

Essential Duties and Responsibilities

Facility Operations and Maintenance

Coordinate day-to-day maintenance and repair activities for company buildings, grounds, and infrastructure.

Inspect facilities regularly and identify maintenance, repair, or safety concerns.

Maintain offices, production areas, warehouses, parking lots, sidewalks, and common areas in safe operating condition.

Support building systems maintenance including HVAC, plumbing, electrical, compressed air, fire suppression, refrigeration, and security systems.

Ensure facility cleanliness, functionality, and appearance standards are maintained.

Support preventive maintenance schedules for facility and production equipment.

Schedule and coordinate corrective maintenance activities.

Track maintenance requests, inspections, and repair histories.

Coordinate equipment shutdowns and maintenance activities to minimize operational disruption.

Assist with troubleshooting maintenance-related issues and equipment failures.

Maintain maintenance records, logs, manuals, and documentation.

Contractor and Vendor Management

Support coordination with outside contractors and service providers.

Review service performance and ensure contracted work is completed correctly and safely.

Safety, Compliance and Risk Management

Ensure compliance with OSHA regulations, environmental standards, fire codes, and company safety policies.

Coordinate facility inspections and corrective actions.

Maintain required maintenance and safety records.

Support emergency preparedness activities and facility security programs.

Participate in safety audits, investigations, and continuous improvement initiatives.

Asset and Inventory Management

Maintain spare parts, maintenance supplies, and equipment inventories.

Coordinate purchase requisitions and procurement of maintenance materials.

Track facility assets and equipment service histories.

Support capital improvement projects and equipment installations.

Testing/Demo Support

Support coordination of customer testing/demos in conjunction with testing/demo host (including set-up/preparation, test facilitation (when necessary), and tear-down/clean-up.

Administrative Responsibilities

Utilize Asset Essentials to schedule, document, and report maintenance activities.

Prepare maintenance reports, KPI updates, and compliance documentation.

Maintain contractor licenses, certifications, and insurance records.

Qualifications

Education

Associate degree in Facilities Management, Industrial Maintenance, Engineering Technology, Business, or related field preferred.

Equivalent experience may be substituted for formal education.

Experience

3-5 years of facilities maintenance, maintenance coordination, or related operational experience.

Experience supporting manufacturing, warehouse, industrial environments, or equivalent

Experience coordinating contractors and service providers.

Knowledge and Skills

Working knowledge of:

HVAC systems

Electrical systems

Plumbing systems

Building maintenance practices

Preventive maintenance programs

Safety and regulatory compliance requirements

Ability to read technical drawings, blueprints, and equipment manuals.

Strong organizational and project coordination skills.

Proficient in Microsoft Office and maintenance management software.

Strong communication and problem-solving abilities.

Ability to prioritize multiple tasks and respond effectively to changing business needs.

Physical Requirements

Ability to walk throughout manufacturing, warehouse, and office environments.

Ability to climb ladders and access facility equipment when necessary.

Ability to lift up to 50 pounds occasionally.

Ability to work in varying environmental conditions.
