We are seeking an Acccounting Specialist to join our growing real estate development, property management, and hospitality organization. This role is responsible for managing the company's outgoing payments and incoming receivables, ensuring accurate financial records, timely processing of invoices, and effective collection of outstanding balances. This role supports the accounting team by maintaining financial accuracy, strengthening vendor and customer relationships, and contributing to efficient cash flow management.

Responsibilities

General

 

Perform monthly bank reconciliations and investigate reconciling items.
Maintain accurate financial records and supporting documentation.
Prepare account reconciliations and journal entries as needed.
Assist with audits by providing requested documentation and reports.
Identify, recommend, and support process improvements to enhance efficiency, accuracy, and internal controls.
Collaborate with internal departments to resolve invoice, billing, and payment issues.
Assist with special projects and other accounting-related duties as assigned.
Ensure confidentiality and security of financial information.

Accounts Payable

Review, verify, and process vendor invoices accurately and timely.
Prepare and process weekly check runs, ACH payments, and wire transfers.
Reconcile vendor statements and resolve discrepancies.

Manage company credit card process including gathering receipts, coding and reconciling statements.
Maintain vendor records, including certificate of insurance tracking, W-9 forms and payment information.
Prepare and file annual 1099 forms in compliance with IRS requirements.
Respond to vendor inquiries regarding payments and account status.
Assist with month-end and year-end closing activities and AP accruals.
Ensure compliance with company policies and accounting procedures.

 

Accounts Receivable

Apply customer payments and reconcile AR accounts.
Conduct collection activities on past-due accounts while maintaining positive customer relationships.
Investigate and resolve billing discrepancies and payment issues.
Prepare aging reports and provide updates on collection status.
Support cash application and daily deposit activities.

Monitor customer accounts and track outstanding balances.
Assist with month-end and year-end closing activities.

Qualifications:

Associate's degree in Accounting, Finance, Business Administration, or related field preferred.
2+ years of experience in accounts payable, accounts receivable, or general accounting.
Experience with accounting software and ERP systems.
Proficiency in Microsoft Excel and Microsoft Office applications.
Experience with Yardi software strongly preferred.
Experience with CommercialCafe property management platform is a plus.
Knowledge of GAAP and accounting best practices.
Experience in commercial real estate, property management, or a multi-entity environment is a plus.
Strong attention to detail and accuracy.
Excellent organizational and time-management skills.
Ability to prioritize multiple tasks and meet deadlines.
Strong analytical and problem-solving abilities.
Effective written and verbal communication skills.
Customer service mindset when interacting with vendors, tenants, and clients.
Ability to work independently and collaboratively within a team.

 

Supervisory Responsibility:

This position does not have supervisory responsibility.

 

Work Environment

This job operates in a professional office environment with hybrid schedule capability. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

 

Physical Demands

This position requires no minimum ability to lift, bend or stand.

 

Position Type and Expected Hours of Work

This is a full-time position with standard daytime business hours.

 

Travel

Travel is not expected for this position.
