Carolina Heart Specialists is seeking a friendly, organized, and professional Front Desk Coordinator to be the first point of contact for patients visiting our practice. This role is critical to creating a positive patient experience while ensuring smooth daily operations within our cardiovascular specialty clinic.
The ideal candidate is customer-focused, detail-oriented, and able to manage multiple responsibilities in a fast-paced healthcare environment.
Position Summary
The Front Desk Coordinator is responsible for welcoming patients, managing appointments, verifying insurance information, handling incoming calls, and providing administrative support to ensure efficient office operations. This individual serves as the face of the practice and plays a key role in delivering exceptional patient service.
Essential Duties & Responsibilities
- Greet patients and visitors in a professional, courteous, and friendly manner
- Answer and direct incoming phone calls
- Schedule, reschedule, and confirm patient appointments
- Check patients in and out for appointments
- Verify patient demographics, insurance information, and required documentation
- Collect copays, balances, and other patient payments
- Maintain accurate patient records within the electronic medical record (EMR) system
- Manage appointment calendars and coordinate provider schedules
- Assist patients with forms, referrals, and general inquiries
- Process incoming faxes, mail, and other correspondence
- Coordinate communication between patients, providers, and outside healthcare facilities
- Maintain patient confidentiality and comply with HIPAA regulations
- Ensure the reception area remains clean, organized, and welcoming
- Support administrative and clerical tasks as needed
Qualifications
- High School Diploma or GED required
- Minimum 1 year of front desk, receptionist, medical office, or customer service experience preferred
- Healthcare or medical office experience strongly preferred
- Experience with EMR systems preferred
- Familiarity with insurance verification and patient registration processes preferred
- Proficient with Microsoft Office and general computer applications
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Professional appearance and demeanor
- Ability to work effectively in a fast-paced environment
