Storekeeper (Logistics)

THE POSITION

Under the direction of a Stores Administrator, the Storekeeper for the Logistics Section of the Department of Utilities is responsible for supporting the departments operations and maintenance teams by purchasing, warehousing and distributing parts and equipment needed to maintain and repair the City’s vast water, wastewater and drainage systems. Tasks include, but are not limited to fulfilling purchase requests, creating new inventory items, editing and updating existing inventory item information, performing cycle counts, year-end inventory counts, receiving, and issuing warehouse stock, and assisting with other program areas as requested.

IDEAL CANDIDATE STATEMENT

The ideal candidate will be detail-oriented, have excellent customer service skills, be open to learning, and have the ability to manage priorities in a continuously evolving work environment. An understanding of the procure to pay lifecycle for goods and services including solicitations, purchase orders, invoicing, and other procurement functions is preferred but not required. Experience with work order management or inventory software is desired but not required.

Under direction, maintains and operates an independent departmental storeroom or warehouse stocking specialized materials, supplies, and parts. Receives and issues supplies, materials, tools, parts, and other items; procures items as needed to maintain inventory; coordinates or assists with emergency purchases as needed; tracks and monitors inventory location and quality; and maintains appropriate records.

DISTINGUISHING CHARACTERISTICS

This is a full working-level class populated with multiple incumbents. Incumbents receive occasional supervision while working toward a definite objective that requires use of a wide range of procedures. Incumbents recommend specific procedures or equipment required to meet assigned objectives and solve non-routine problems, referring only unusual matters to a higher-level administrator or manager. This class is distinguished from the lower level class of Stores Clerk II as the latter is responsible for the more routine storekeeping functions that do not usually involve significant purchasing or inventory management responsibilities. This class is also distinguished from the higher-level class of Senior Storekeeper as the latter has broader responsibility for the technical functions and supervision of warehouse personnel, supervision of procurement, and overseeing the appropriate use of storage space, facility maintenance of store facilities.

SUPERVISION RECEIVED AND EXERCISED

Direction is provided by a supervisor, higher-level administrator or manager. Responsibilities may include serving as a lead worker over lower level personnel.

Essential Duties And Responsibilities

Duties may include, but are not limited to, the following:

  • Review the ordering, receiving, sorting, issuing, and delivering of a diversified inventory of materials, supplies, tools, parts and other items to ensure adherence to applicable codes and regulations.
  • Inspect shipments for compliance with specifications, quantities, cost, conditions, or other details.
  • May prepare reports when discrepancies are found and make certain items are correctly packaged and returned.
  • May assist in training new personnel.
  • Maintain adherence to established procedures related to storekeeping activities.
  • Enter and retrieve information from computerized records systems in the preparation, monitoring, tracking, and maintenance of stores records.
  • May coordinate and conduct periodic cycle and blind inventory counts, verify and correct data when applicable; and, prepare necessary reports for reporting inventory results.
  • May assist in the preparation of RFQ’s and RFP’s for bid advertising.
  • Review invoices and blanket purchase orders from established vendors as needed to maintain inventory and follow-up on overdue shipments.
  • Identify and contact vendors for best price when emergency purchases are necessary.
  • Coordinate storekeeping activities with other City departments, divisions and contractors.
  • Respond to requests and inventory questions from department staff.
  • Schedule and dispatch tools and equipment for daily use, including cranes, dump trucks, other heavy equipment and rental equipment as needed.
  • Coordinate the return and inspection of tools and equipment, and arrange for repairs if needed.
  • Ensure that storerooms and/or tool rooms are maintained in a clean and orderly fashion.
  • Operate a forklift, crane and other storeroom equipment.
  • Provide exceptional customer service to those contacted in the course of work.
  • Other related duties may also be performed. Not all duties listed are necessarily performed by each individual holding this classification.

  • The purchasing cycle as it typically applies within a public agency.

  • Standard arithmetic including addition, subtraction, multiplication, and division; standard units of weights and measures.
  • The basic operation of computers, including standard word processing and spreadsheet software.
  • Basic principles and practices of customer service.
  • Rigging standards and principles of safe and efficient methods for handling heavy objects.
  • Principles of leadership and training.

Education And Experience

Experience

Two years of experience performing storekeeping and inventory work. Experience with public agency procurement is desirable.

Driver License
